Select names in a new message

When a new mail mesage is opened, I click on the To: button to open up the
"select names" window. In this list, peoples names appear twice, the second
listing is often showing a fax number. Is there a way to prevent the second
listing from appearing? TIA.
 
The program would be MS Outlook. (My apologies, as only later did I realize
I posted this to this newsgroup in error.)
