Printing Labels - OL2000

G

Guest

Since I've had OL2000 (running WinXP), I have been unable to print address
labels, and had to address all our envelopes by hand (the horror!).

I am appealing for your help this year.

I have tried MailMerge from the Outlook Contacts file. It brings up Word,
with the other prompts... but the addresses are never imported into this Word
doc. The label gridlines are viewable, but no contact information is
imported.

I've tried running fixmapi & that did not help. I've also tried MailMerge
from Word, but I get "unable to obtain list."

Any advice is very much appreciated! Thanks in advance. :)

I've been to those sites

I created a Contact folder called "Christmas cards" with just names &
addresses in view.

1. in Outlook Contact View: Tools > MailMerge
2. MailMerge window pops up. I select:
- all contacts in current view
- Contact fields shown in current view
- document file: New document
- Merge options: document type > Mailing Labels; Merge to: New document

Press Okay.

popup says "Initializing Word"
popup says " importing contacts"

Then I'm brought to Word - a new document with a popup that says:
Outlook has created a MailMerge document and prepared your contact data for
you. In order to complete the setup for the Mailing Labels you have to press
the "Setup" button in section 1 of the MailMerge helper dialog.

Then I press Okay.

Popup of MailMerge Helper:
at the Number 1 Main document (listed under Create: Merge type: mailing
Labels; Main document: Document 1) This is where I press Setup...
Label options popup. I select Laser & ink jet; tray: Paper Cassette (because
I want a test run before I print on labels). Then I select the label
information. (Avery 8660). I press Okay.

I'm taken back tot he Word document, which now has the grid lines of the
labels, but no data. The MailMerge Helper popup is still there.

The number 2 "Data Source" indicates that "Data: C:\DOCUME~1\...\OMM1.doc"

(I'm guessing this is correct - I don't make any selection/change here)

Number 3 " Merge the data with the document" preselected Options in effect:
Suppress Blank Lines in Addresses; Merge to new document
(I don't change this either)

The only option is to Close the window, which I do, and...

I'm left looking at the Word doc with the label gridlines and no contact
information.
There's no error message. The only time I got an error message was when I
tried to MailMerge starting from Word (which I can detail if needed).

Anything else you need, let me know. Thanks for your help.

It will take me a few days to find a machine with a version that old still
installed. Hopefully someone else has it running and can walk through this.
In all supported versions, you would use the mail merge toolbar to complete
the merge after tiy exit the Mail Merge Helper.

Thank you. So at first glance, does it look like I'm taking the right steps?

I had to chuckle at "a version that old" - I still think of it as new, but I
realize there have been a few new versions. OL2000 serves my purposes just
fine these days, on my personal computer...as long as it keeps syncing with
my PDA.

I appreciate your help.

The steps look right so far, but at some point mail merges migrated away
from the Mail Merge Helper to other interfaces. Outlook 2000 is in the far
too distant past for me to remember, or even to have an old installation
lying around to check. It's not even supported any more.

Oh no. :( Does this mean I am out of luck?

Should I just start copying & pasting each of my contacts (!!!!!) into a

No. You are not out of luck. You'll just have to give me few days to find an

1) Open your Contact List in Outlook

2) Hold down the CTRL Key and select all of the contacts that you want to
send to

3) Once all contacts have been selected, go to TOOLS/MAIL MERGE

4) Select ONLY SELECTED CONTACTS

5) Select NEW DOCUMENT

6) Under Document Type select MAILING LABELS

7) Click OK

8) Word will now open and direct you to click on the SETUP BUTTON click OK

9) Click on the SETUP BUTTON of the MAIL MERGE HELPER that should now be
open

10) Choose your printer type and choose the label type that you will be
using and click OK

11) The CREATE LABEL dialogue now opens with a blank label and a button
above the blank label called INSERT MERGE FIELD

12) Click on the INSERT MERGE FIELD button and select the first element of
the address that you want in the address

13) Continue selecting fields for the address label separating them by
spaces and ENTERS for new lines

14) When you have all the fields that you require, click OK

15) Now Click MERGE

16) Select MERGE TO NEW DOCUMENT and click MERGE

17) You should now have a Word document ready to print your labels

Good Luck
