Ppt 2003 - Embedding Grayscale slides into Word

J

Jeremy Russell

Hi, my PC has been upgraded from Office 2000 to Office 2003. In 2000,
I used to be able to embed individual Powerpoint slides, one by one,
into Word. I would display the Powerpoint slide sorter view, in
grayscale, then copy and paste each slide. I could then annotate the
document with as much text as I needed.

The documents thus produced are then printed and photocopied, hence
the requirement for grayscale Word documents.

Office 2003 now seems to insist on pasting all the slides in full
colour - is there any way I can regain the functionality I seem to
have lost?

Thanks for any advice ...

Hello,

PowerPoint no longer has the capability to send to Word (or copy to
clipboard) slide images/object as they appear in either Grayscale or Black
and White View. Instead, slide images/objects are always copied in full
color.

If you (or anyone else reading this message) think that PowerPoint should
provide an option for copying slide images/objects as Grayscale or Black
and White <when viewed in that mode> (without having to resort to VBA or
add-ins), don't forget to send your feedback (in YOUR OWN WORDS, please) to
Microsoft at:

http://register.microsoft.com/mswish/suggestion.asp

It's VERY important that, for EACH wish, you describe in detail, WHY it is
important TO YOU that your product suggestion be implemented. A good wish
submssion includes WHAT scenario, work-flow, or end-result is blocked by
not having a specific feature, HOW MUCH time and effort ($$$) is spent
working around a specific limitation of the current product, etc. Remember
that Microsoft receives THOUSANDS of product suggestions every day and we
read each one but, in any given product development cycle, there are ONLY
sufficient resources to address the ones that are MOST IMPORTANT to our
customers so take the extra time to state your case as CLEARLY and
COMPLETELY as possible so that we can FEEL YOUR PAIN.

IMPORTANT: Each submission should be a single suggestion (not a list of
suggestions).

It's rather irritating that this feature has been removed. Is there
the option of deinstalling Powerpoint 2003 and reinstalling the older
version or will that cause more problems with a mixed install?

You can install multiple versions of PowerPoint as long as you install the
oldest version first, followed by the next oldest, etc.

Sonia, thanks - I now have a number (12) of Powerpoint 2003 files that
I would want to open in Powerpoint 2000. Before I start deinstalling
and reinstalling, should I anticipate problems opening 2003 docs in
2000?

Regards

Jeremy

PowerPoint doesn't support transitions and animations that are new in
PowerPoint 2002 and 2003. So, it depends on how the presentation is
designed and built.

That should have been, "PowerPoint 2000 doesn't support . . . "

What Sonia said, Jeremy.

What I do is open the file in 2000 and save it with a new name --
presentation_B-W.ppt, for instance. That way I don't have to worry that any
animations/transitions are wiped out.

Although I've been messing with this recently, and it seems that if
animations were applied in 2003, the animations don't get wiped out unless I
have to actually apply an animation in 2000. I know I've seen some instances
where some animations have been lost, but that may have been with PPT 2002
(aka PPT XP) going to 2000, not with 2003 going to 2000. Or it may be
something about specific slides or objects. But the file as a whole seems to
remain pretty intact.

I know that one of our regulars always tried to tell me that this was the
case, but I didn't totally buy into it since I'd actually seen some things
get "lost" in translation. However, I haven't been able to repro those
lately, so I think he was right.

Thanks for all the advice. I managed to find a system with Office
2000 and therefore (for the moment) I'm happy again.

That was a frustrating moment though; what other goodies
(features/bugs) have been removed in the up(down)grade? I can't be
the only person who produces colour slides for grayscale printing, can
I?

Cheers

Jeremy
