Outlook Installs Custom Appointment Form on Recipient When Receiving a Meeting Request

Ben Crinion

Hi

I have an Outlook com add-in which has a Customised appointment item form
with a new tab which contains a few check boxes and other bits and pieces.
The tab works fine but when someone sends a meeting request to another
outlook user it copies the form to the recipients pc even if they dont have
my add-in installed and the "virgin" pc uses the form with the tab for all
future appointments.

Is there any way of still using a custom form locally but not sending the
extra tab when you send a meeting request?

Thanks

Send meeting requests in iCalendar format, not native RTF. That won't be an
option if all you have is an Exchange account.

Does this mean that if a user of my plugin sends meeting requests using an
exchange account to another exchange user there is nothing I can do about
the custom form being sent?

Is it the standard Outlook behaviour to install the custom form on the
destination PC and then use that form for all future Appointment items?

In an Exchange environment, the best approach would be to install the custom
form being used for meeting requests in the Organizational Forms library.
The next best alternative is to install it in each user's Personal Forms
library. The other option -- which is available only if you have no code
behind the form -- is to check the "send form definition with item" box on
the (Properties) page in form design. This will make each item larger
because it embeds the form definition in each item. If you change the form
later, existing items won't recognize those changes.
