Outlook Error Message while Archiving

H

Harry Nash

I received the following error while trying to perform an
archive - and for the life of me cannot figure out why
this is the case:

Error occured while archiving folder 'Sent Items' in
store 'Mailbox' - hnash. Some items could not be copied.
They were either moved, or deleted, or access was denied.

When I tried moving individual pieces of mail I get
essentially the same response - Cannot move items. The
item could not be moved. It was either moved, or deleted,
or access was denied.

Thing of it is the mail is currently sitting in the Sent
Items folder so I know it wasn't deleted or moved (I can
open the mail too) and as for the access there's only
myself on the computer that has access to the archived
file.

How large is the .PST file you're trying to archive to?

You don't say which version of Outlook you're using, but in Outlook 2002 and
earlier, the limit for a .PST file is 2GB (the practical limit may be
~1.83GB as some MSKB articles mention this number), and problems seem to
start cropping up once you cross the 1GB line.

You may want to stop archiving to that particular archive file and start a
new archive, to avoid the error messages and to make sure you don't push
that file size into the "no return" zone. You may also want to split the
old archive file into multiple smaller files, or delete unnecessary items
from the file to reduce the size...just to make sure you won't have any
future problems accessing the data within.

Are you archiving from your mailbox on your Exchange server? I had
been getting this kind of error when our McAfee GroupShield on the
Exchange server was set to use the AVAPI scanning method for On-Access
Scanning. The support folks at Network Associates/McAfee told me the
fix is to switch the scanning method to ESE for both attachments and
messages. The ESE method is much more efficient and should improve
performance on the Exchange server as well.

Note that changing this scanning method requires a restart of some
services. The GroupShield Message Body Scanner service will be set to
Manual start-up, and 2 new services will be added as Automatic: McAfee
Groupshield Store Pre and McAfee GroupShield Store Post.

And yes, the error message has disappeared when moving messages to a
PST or archive folder.
