Office Doc modified DateTime required in email Body when attached

S

Subhash Makkena

Most of the times in our office we circulate the office word/ppts among our
group. any One of the group members will change (if required) and circulate
again to all members again. so.. at the end of the day. we will have a bunch
of mails with same document name attached with modified versions in each
mail. It is difficult to know which one is the latest one. Ofcourse i can
sort emails and know the latest one. But why dont outlook add the modified
time of the document whenever it is attached to email message body.

I suppose that's a reasonable suggestion.

However, on the downside it:
* takes up lots of space (pst's and Exchange stores get big, user limits
crap out, etc)
* it tends towards users editing direct from the email copy (instead of
saving to disk so the file is correctly written to then resend the
updated copy)
* multiple respositories are (effectively) created in each user mailbox

Plus I don't think email's ever been both intended, nor very good (for
the above reasons amoungst others) to use as a 'file transfer
mechanism').

A single repository, perhaps with more than one copy of a 'template'
word file (or *whatever* it may be) is surely better. Obviously, I'm
talking about a network shared folder (like: \\server01\office word, ppts
(although not having spaces (eg. use '-' instead) helps when emailing or
linking up to such, as the hyperlink often breaks due to the spaces (and
I changed your '/' to a comma ',')) - so say: \\server01\office-
word,ppts).

Plus you can nicely control security/access to the share - and on a
domain you'd probably easily deploy that to Security groups and OU's.

One (or more) copies, centrally located (not distributed), read and used
by some, created/deleted/modified by some others too. And users
*notified* by email - 'hey all, \\server01\office-word,ppts\Subhash
Makkena has been updated.'

So I think, you may not find Microsoft embarking on your suggestion
anytime soon - sorry, that's just my opinion.
