Re: Outlook 2002

1) When sending email to one or more categories - Is there a way to
automatically insert the email addresses into the Bcc field instead of the
To: field?

This is the cumbersome way I do it now: I select one or more categories that
I want to send the message to. Then choose Action / New Message. The
addresses automatically go to the To: field. Since I don't want everyone to
see the addresses I have to select / cut / paste the addresses into the Bcc:
field. I keep only one inhouse address in the To: field. This is is a very
cumbersome way to do it.

Is there any easier way to send email to one or more category list when I
want the addresses to be in the Bcc: field instead of the To: field?

2) A related question - I run into even more cumbersome problems when I try
to forward a message with an attachment to one or more categories. I can't
seem to be able to insert category addresses into the Bcc: field when I want
to forward an email.

Here's what I have to do now: Copy the body of the message I want to forward
into the clipboard. Select the category/categories that I want to forward it
to. Choose Action / New message. Then I paste the email message from the
clipboard into the new email. Then, I have to select / cut/ paste the
addresses from the To: field into the Bcc: field (like above). Again, I only
put one inhouse address into the To: field. If there is an attachment to
forward too then I would have had to already save the attachment from the
original message to my desktop as a document (in advance). Then, with the
new email message (done as above) I attach the document from my desktop to
the new email message.

Is there an easier way to send and forward email using categories and the
Bcc: field and attachments? I hope I've described it clearly enough. Please
provide as detailed an explanation as possible. Thank you.

No, but right-click>Select All>drag-and-drop is fairly quick.

Then do them all at one time.

A mail merge started from within Outlook is one way. Select all the
addresses in the category and run the mail merge. When it gets to the point
in the process where you specify the addressees, you can choose the
selection.

Instead, click Forward to get the original message. Go back to Contacts,
select the category, choose Actions>New Message to Contact. That will bring
up a new message window with the contacts in To. Right-click the To field,
choose Select All, right-click, choose Cut ot Copy. GO backk the the
forward window, select the Bcc field, right-click and choose Paste.

Hi Brian.

Thanks for the suggestions. I'll try them when I'm back in that office
later this week. It still seems rather clunky. I'm working with someone who
insists that there must be an easier way to do these things. I'm doing the
research to see what is possible. Another question, if you please:

Would upgrading to a newer version of Outlook offer more efficiencies for
sending and forwarding emails using categories (less cutting and pasting of
addresses)?

What do you think? Do you have any suggestions? Thanks for your time.

As far as I can tell, Outlook 2007 operates the same way.

There are plenty of knowledgeable people in this newsgroup. If one of them
can think of something easier, I'm sure s/he will suggest it.
