More Duplicate E-mails Outlook 2003

I am also getting DUPLICATE emails everytime I check my emails on my server.
(using microsoft office outlook 2003(11.6359.6360) SP1). Please let me know
if there is a FIX.

I spent significant time and effort trying to resolve this problem, trying
the "hotfix", creating and uploading the log file... still zip answer.

This is a common problem that many users must be having, but most probably
just don't recognize it as an Otlook bug.

PLEASE HELP!

I'm not convinced that hotfix is the one that fixes one of the problems you
may be having, because I think it was released before I checked in the most
recent fix - I need to investigate it. Unfortunately, it seems that
everyone (including the folks that write KB articles) seems to think that
duplicate messages are a single problem with a single solution. That is
not the case. If you could post your logfile I could see what is going on.

I tried. I don't think I am an idiot, but I can't seem to post a message
here with an attachment. I tried using the web interface at office online,
and using a news client (xnews).

Would love to get you the file.

Apparently the web interface doesn't support attachments - just dump the
logfile in the post.

I turned on logging, then turned on "leave a copy on the server" for 2 days.
Then I used the "send test message" button.
I did send/receive a couple times, and only receved one copy of that test
email.
I then manually sent myself an email.
I did send/receive a couple times, and only got one copy.
I then sent myself a third email.
I received a copy of the third email every time I did send/receive after that.

I am also receiving duplicate emails, but usually only from one source/forum.
Evidently no-one else on that forum is having the same problem. I am not
using Outlook or Outlook Express as my e-mail client, tho I do have both on
my computer. Windows XP Pro and Office XP are fully updated to SP2 standards.
I cannot download from either the Windows or Office Auto download sites, and
individual downloads do not install. The download problems have been reported
but not replied to as yet. I'm wondering if the duplicate emails/download
problems could be linked in some fashion? Bwana.

This is a server bug, not an Outlook bug. Your server, for some reason,
has two messages to which they've assigned the UID (*unique* identifier)

There is no way a mail client can properly handle a situation in which the
server gives two different messages the same UID, though different clients

to see if there is a bug fix for the server.

days. Then I used the "send test message" button. I did send/receive a
couple times, and only receved one copy of that test email. I then
manually sent myself an email. I did send/receive a couple times, and
only got one copy. I then sent myself a third email. I received a copy
of the third email every time I did send/receive after that.

I appreciate the theory, and I will admit it has something to do with this
server more than others, but I still believe Outlook is at least partially at
fault. Here are some facts that belie your theory.

I have multiple email addresses on multiple servers (all but one were turned
off when doing test below). Just now I sent multiple messages to myself
using multiple combinations of SMTP servers and receiving POP accounts.

All of my test messages have the same UID when I look at the headers of each
("options") after they arrive in my inbox.

The above two UID's are from two different message, sent through two
different servers, and received on different accounts. Both where sent and
received by Outlook. ("ware.com" representing the "email address" and
"reply-to" domain that I put in the settings of all my outlook accounts, even
if the accounts are really elsewhere.)
It appears that Outlook is assigning the UID as the message goes out, and it
is incorrectly non-Unique.

Also, if Outlook was properly tracking UID's as it RECEIVED messages, and 2
messages incorrectly have matching UID's, then you would think that BOTH
messages would be ignored, or considered "old"... and I would then understand
if I never saw the second message. It does not make sense that instead I
would keep re-downloading one of the messages forever.

Oops! those looked the same, but are in fact different.

But it still looks like Outlook is assigning the UID's, and so there is
still something about Outlook that looks responsible if two messages show up
I appreciate the theory, and I will admit it has something to do with this
server more than others, but I still believe Outlook is at least partially at
fault. Here are some facts that belie your theory.

I have multiple email addresses on multiple servers (all but one were turned
off when doing test below). Just now I sent multiple messages to myself
using multiple combinations of SMTP servers and receiving POP accounts.

All of my test messages have the same UID when I look at the headers of each
("options") after they arrive in my inbox.

The above two UID's are from two different message, sent through two
different servers, and received on different accounts. Both where sent and
received by Outlook. ("ware.com" representing the "email address" and
"reply-to" domain that I put in the settings of all my outlook accounts, even
if the accounts are really elsewhere.)
It appears that Outlook is assigning the UID as the message goes out, and it
is incorrectly non-Unique.

Also, if Outlook was properly tracking UID's as it RECEIVED messages, and 2
messages incorrectly have matching UID's, then you would think that BOTH
messages would be ignored, or considered "old"... and I would then understand
if I never saw the second message. It does not make sense that instead I
would keep re-downloading one of the messages forever.

There is no way a mail client can properly handle a situation in which the
server gives two different messages the same UID, though different clients
will deal with this in different ways.

I've removed all but a single download from the log you posted. Send this
post to your mail provider and have them contact the vendor of their server
to see if there is a bug fix for the server.

days. Then I used the "send test message" button. I did send/receive a
couple times, and only receved one copy of that test email. I then
manually sent myself an email. I did send/receive a couple times, and
only got one copy. I then sent myself a third email. I received a copy
of the third email every time I did send/receive after that.

Just wanted to put my two bits in here. I read the entire thread for this
subject, and the "aha! its a server issue" from Msft towards the end is
without merit. I am having this problem on all 4 computers that have been
upgraded to 2003, and I have been on 3 different e-mail servers in one month,
all with the very same issue. I am now on a 1and1 server, which is about as
state of the art as yu can get.Yet I am getting duplicates. One mornig I came
in to 21,000 messages!!

Pure and simple this is a MSFT issue, and all the finger pointing in the
world will not make it go away. I have also been to other discussion forums
where this problem is rampant. I for one am switching to another client,
because I simply cannot get Outlook to stop doing it. Any help from MSFT
would be appreciated, I have been a die hard subscriber since Office 97, but
have pretty much lost my faith. This is an Outlook Issue, not a server issue.
I am confident of this because everything was peachy until I upgraded 4 of
the 7 computers here to 2003. I have held off upgrading the other 3 because
of this issue, which byt the way are just fine.

Hi Jeff,
Unfortunately I am having the same problem. Maybe your eye can help me out.
I have not had this problem before 2003 and am inclined to think it is an
Outlook 2003 issue.

Every time there is a SEND/RECEIVE I get the same message. It's not a great
way to start out on the new software.

OUTLOOK 2003 TRUNCATES THE MESSAGE UID. That is why SIMILAR UIDs act
identical. This causes two problems, actually... duplicate, infinite
downloads of some messages, AND messages that are never downloaded at all.

I have confirmed that this is not a server problem, as other mail clients
correctly receive the entire UID.


Now... can we get a fix?! :)

I have not had this problem before 2003 and am inclined to think it is an
Outlook 2003 issue.

Every time there is a SEND/RECEIVE I get the same message. It's not a great
way to start out on the new software.

I've removed all but a single download from the log you posted. Send this
post to your mail provider and have them contact the vendor of their server
to see if there is a bug fix for the server.

OKOKOK, I goofed again... sorry.

In fact this IS a server issue. When I log in to the server using telnet, I
get the same list of truncated UIDs when I use the UIDL command, so sometimes
they appear identical even when they are not.

However, as noted by many users, this must be a problem with many servers,
and previous versions of Outlook dealt with it fine. Now that you are aware
of the poblem, I am sure the MS brain tust can come up with a workaround on
the client side. (perhapse when duplicates are found, the full headers of
those messages could be interrogated before any conclusion is made about
whether a message is "new" or "old".)

I have contacted my hosting company to try to get it dealt with on their
server, but honestly this is something Outlook 2003 should be able to deal
with, as other clients are able to do, and as previous Outlooks have done.

OUTLOOK 2003 TRUNCATES THE MESSAGE UID. That is why SIMILAR UIDs act
identical. This causes two problems, actually... duplicate, infinite
downloads of some messages, AND messages that are never downloaded at all.

I have confirmed that this is not a server problem, as other mail clients
correctly receive the entire UID.


Now... can we get a fix?! :)

Outlook 2003 issue.

Every time there is a SEND/RECEIVE I get the same message. It's not a great
way to start out on the new software.

I've removed all but a single download from the log you posted. Send this
post to your mail provider and have them contact the vendor of their server
to see if there is a bug fix for the server.

I'll bet the server has decided to use the Message-Id or part of it as the
UID. But as Brian says, the server is responsible for the UIDs, and is
responsible for making sure that they are, indeed, unique. This is
absolutely not Outlook's problem, and is a bug on the server.

Well, you're welcome to your theories, but in this case they're wrong - the
problem that jph was having was a server bug, pure and simple. That is not
to say that *all* duplicate downloads are server bugs - I've fixed my share
of Outlook bugs relating to that. The fact, though, is that I wrote the
Outlook code for POP3 and understand both that code and how the server is
supposed to work, and I know the difference between an Outlook bug and a
server bug.

If you're having problems with duplicates, could you turn on diagnostic
logging (see
http://support.microsoft.com/default.aspx?scid=kb;en-us;Q300479) and post
the OPMLog.log file? I can see what your problem is.

Sigh. As I said before and I'll say again, there is nothing a client can
do to deal with this problem if it's been configured to leave messages on
the server.

A client configured to download and delete all messages will be able to
handle this, because it doesn't have to distinguish one message from
another on the server.

The only way that a client can distinguish one message on the server from
another, though, is through the UID, so if the server assigns the same UID
to multiple messages there's no way for a client to tell one from another.

Outlook Express handles this without duplicates by never even showing you
the second message with a given UID. And if you delete the *first* message
with that UID, OE will also delete the *second*, so you'll never even know
that it existed. We decided that creating duplicates of messages was
better than never showing them to you at all.

OKOKOK, I goofed again... sorry.

In fact this IS a server issue. When I log in to the server using
telnet, I get the same list of truncated UIDs when I use the UIDL
command, so sometimes they appear identical even when they are not.

However, as noted by many users, this must be a problem with many
servers, and previous versions of Outlook dealt with it fine. Now that
you are aware of the poblem, I am sure the MS brain tust can come up
with a workaround on the client side. (perhapse when duplicates are
found, the full headers of those messages could be interrogated before
any conclusion is made about whether a message is "new" or "old".)

I have contacted my hosting company to try to get it dealt with on their
server, but honestly this is something Outlook 2003 should be able to
deal with, as other clients are able to do, and as previous Outlooks
have done.

But... the actual POP box data shows those same two messages' UIDs as:

OUTLOOK 2003 TRUNCATES THE MESSAGE UID. That is why SIMILAR UIDs act
identical. This causes two problems, actually... duplicate, infinite
downloads of some messages, AND messages that are never downloaded at
all.

I have confirmed that this is not a server problem, as other mail
clients correctly receive the entire UID.

it is an Outlook 2003 issue.

Every time there is a SEND/RECEIVE I get the same message. It's not a
great way to start out on the new software.

I've removed all but a single download from the log you posted. Send this
post to your mail provider and have them contact the vendor of their server
to see if there is a bug fix for the server.
