managing distribution lists

reha

i am wondering how I can manage a DL easily.
because we add new names to our contacts folder after each customer activity.
we want to add these names to our DL for mailing purposes.
how can I know & check if a person was already in that DL or not?
I obviously want to add only newly added contacts.

If you are using Outlook 2003 or 2007, ditch Distribution lists and use
Categories instead....

is it possible to send mails to a specific category?
if yes, how can I do that?

Yes. Select the category then (in 2007) do Actions-Create-New Message to
Contact

one more question:
what if I assign more than one category to a contact and then send mails to
these two categories?
does the recipient get a duplicate e-mail?
if thats the case, how can I overcome this situation?

The answer to that is I don't know! Never done that. Sorry! (You could set
up a temporary email address like Hotmail and try...)

Just tried it - it would appear so.

If it's a small category you might manually look and delete, if it's a large
one, then I'm not sure!
