IMPORT of FOLDERS, CONTACTS and ACCOUNTS

ATK31

Hi,

I am migrating from OFFICE 2000 to OFFICE 2007.

A. How do I IMPORT my PST file into OFFICE 2007 along with all the FOLDERS,
the CONTACTS the CALENDAR, etc.?

B. Can I also import the ACCOUNTS (*.iaf files) or do I have to define all
accounts from scratch?

Thank you for your help.

R

Russ Valentine [MVP-Outlook]

You would never import Outlook data.
Create all accounts from scratch. Follow the instructions we post here daily
to migrate your data file. The file you need is your Personal Folders file
(*.pst) It's where all the mail, calendar, contacts etc are stored.

Take a look at these pages for info on Outlook data backup or transfer:
http://www.slipstick.com/config/backup.htm
http://www.howto-outlook.com/Howto/backupandrestore.htm
http://office.microsoft.com/en-us/assistance/HA010771141033.aspx

Note that some of the information on these pages is outdated and no longer
applies to Outlook 2003 or 2007. Specifically:
1. Ignore any advice to copy your PST file to Outlook's default location to
connect it to your profile. Doing so only corrupts your profile. Copy it
anywhere BUT the default location and open it within your Outlook profile.
2. Ignore any advice that tells you to use export or import to transfer
Outlook data. That has never been sound advice, but the process has become
too deeply flawed now to be of any use whatsoever.

Hi DL,

Thank you for your reseponse.

OFFICE 2007 is installed on a new PC.
I wish to import FOLDERS, CONTACTS and ACCOUNTS from an olf PC that has
OFFICE 2000.

Locate the pst on the old PC, with Outlook closed, copy to media, from media
copy to the Documents folder on new PC
Configure Outlook 2007 on new PC, once tested and OK, within 2007
File>Import Data File........browse to the pst located in the Documents
Folder
(PS If you used a a cd as your copy media, ensure the read only attribute is
turned off, once copied to the new PC - check properties of this pst in
explorer)

Note that this method will create a duplicate PST File and a corrupt profile
when used with Outlook 2007.
Recommended methods were already posted: Open the old PST file and reset it
as the default.

Hi Russ,

I am very confused by your debate with DL.

Could you please outline here, or provide a link to, a reliable step-by-step
procedure?

Please note the old PST file was created by OUTLOOK 2000 while the new
version is OUTLOOK 2007.

Thank you for your kind help.

An outlook 2000 pst is in ansi format, whilst the default format for 2007 is
Unicode
An ansi format pst has a size limitation of 2gb, the 2007 doesn't have this
limit & is more stable ( I belive its also indexed, internally, differently)

I believe Russ is speed reading and hasn't fully taken into account the
current setup. The last thing you want to do is set the old pst as default,
importing data does not create a duplicate pst, or corrupt the profile

If you were transfering a unicode pst to another OL2007 installation, then
indeed you would open that pst in 2007, and maybe set it as default.

Not so. The OP did not request to upgrade to the newer file format nor is it
necessary for most end users to do so. You read that into the question.
Importing an entire PST into an Outlook 2007 profile does in fact create a
duplicate PST file (aka ghost) that cannot be closed. Outlook 2007 has a
permanent bug that causes it to connect improperly to a PST file when the
entire file is imported in one operation. The only way for Outlook 2007 to
connect properly to an entire PST file is to open that file in Outlook. If
at that point the OP actually does want to change the format of the file,
then he would copy the items he wants from the old to the new PST file, then
close the old file.

In my post I added the information that updated the instructions for Outlook
2007. You have all the information you need. I have no way of knowing what
isn't clear to you until you tell me. Then I'll try to clarify it for you.
The brief summary:
1. Do not try to transfer account settings. Create your accounts from
scratch using the settings your mail provider requires.
2. After Outlook 2007 is configured with its accounts, it will have created
a new empty data file which you will not be using.
3. Within Outlook, you can open your old data file using File > Open >
Outlook Data File... Do not attempt to import this file.
4. At that point you can set Outlook to use your old file instead of the new
one by setting your old file as the Default (Tools > Accounts Settings >
Data Files)
5. Restart Outlook and close the new data file it created. You will now be
using your old file with all information completely intact.

Its a little dificult to follow Russ's posts since no of them appear to me -
presumably he's posting from an address/domain that I have blocked.
There was a post a few weeks ago from an OL MVP, to me, that specifically
stated to import an old version pst to a unicode pst, as apposed to opening
the pst and copying data. There was no mention of bug.
I had initially suggested opening the old and copying to the unicode

Could you please outline here, or provide a link to, a RELIABLE and
UPDATED
step-by-step procedure?

Thank you,

ATK

I provided 3 such links in my first reply. Have you read them?
It would help if you would be more specific in what you want to do. Do
you
simply want to continue using your previous data file or do you want to
update it to the newer file format? You can do either.

Not so. The OP did not request to upgrade to the newer file format nor
is
it
necessary for most end users to do so. You read that into the
question.
Importing an entire PST into an Outlook 2007 profile does in fact
create
a
duplicate PST file (aka ghost) that cannot be closed. Outlook 2007 has
a
permanent bug that causes it to connect improperly to a PST file when
the
entire file is imported in one operation. The only way for Outlook
2007
to
connect properly to an entire PST file is to open that file in
Outlook.
If
at that point the OP actually does want to change the format of the
file,
then he would copy the items he wants from the old to the new PST
file,
then
close the old file.

An outlook 2000 pst is in ansi format, whilst the default format for
2007
is Unicode
An ansi format pst has a size limitation of 2gb, the 2007 doesn't
have
this limit & is more stable ( I belive its also indexed, internally,
differently)

I believe Russ is speed reading and hasn't fully taken into account
the
current setup. The last thing you want to do is set the old pst as
default, importing data does not create a duplicate pst, or corrupt
the
profile

If you were transfering a unicode pst to another OL2007
installation,
then
indeed you would open that pst in 2007, and maybe set it as default.

Hi Russ,

I am very confused by your debate with DL.

Note that this method will create a duplicate PST File and a
corrupt
profile when used with Outlook 2007.
Recommended methods were already posted: Open the old PST file
and
reset it as the default.

step-by-step
procedure?

Locate the pst on the old PC, with Outlook closed, copy to
media,
from
media copy to the Documents folder on new PC
Configure Outlook 2007 on new PC, once tested and OK, within
2007
File>Import Data File........browse to the pst located in the
Documents
Folder
(PS If you used a a cd as your copy media, ensure the read only
attribute
is turned off, once copied to the new PC - check properties of
this
pst in
explorer)

Hi DL,

Thank you for your reseponse.

Is this 2007 on a new PC or are you upgrading
Office/Outlook?

OFFICE 2007 is installed on a new PC.
I wish to import FOLDERS, CONTACTS and ACCOUNTS from an olf PC
that
has
OFFICE 2000.

:

A) All such data is contained in the pst file

Is this 2007 on a new PC or are you upgrading Office/Outlook?

Hi,

I am migrating from OFFICE 2000 to OFFICE 2007.

A. How do I IMPORT my PST file into OFFICE 2007 along with
all
the
FOLDERS,
the CONTACTS the CALENDAR, etc.?

B. Can I also import the ACCOUNTS (*.iaf files) or do I have
to
define
all
accounts from scratch?

Thank you for your help.

If "none of them appear to you" how are you responding to them? Bugs with
importing have been documented countless times in these groups.

Its a little dificult to follow Russ's posts since no of them appear to
me - presumably he's posting from an address/domain that I have blocked.
There was a post a few weeks ago from an OL MVP, to me, that specifically
stated to import an old version pst to a unicode pst, as apposed to
opening the pst and copying data. There was no mention of bug.
I had initially suggested opening the old and copying to the unicode

Hi Russ,

Thank you for your help.

I read the links but you explicitly warned me that,
some of the information on these pages is outdated and no longer
applies to Outlook 2003 or 2007.
It would help if you would be more specific in what you want to do.
Do you simply want to continue using your previous data file or do
you want to update it to the newer file format?

I definitely want to continue using the previous data (Folders, Contacts,
Calendar.) on a NEW PC.

Thus, I need access to all the OLD data and I need to be able to receive
and
send mail, use the Contacts and the Calendar, etc.

What is absolutely necessary is that the transition from the OLD PC to
the
NEW PC is transparent. I do not care which format is used as long as I
can
proceed using the old data and proceed using OUTLOOK for new data as if I
did
not move to a new PC.

The previous data were created in OUTLOOK 2000.
The new PC has OUTLOOK 2007.

Could you please outline here, or provide a link to, a RELIABLE and
UPDATED
step-by-step procedure?

Thank you,

ATK
