How to print Word doc w/ cross-references w/o these being undone?

Hello,
I have a Word doc containing captions for equations and tables and
cross-references. Each time I try to print the doc or when I do a Print
Preview, the cross-references in the text I see on the screen are modified:
the cross-references for equation numbers show the entire caption and label,
and the cross-references for tables show the message "Error! Reference source
not found". The printed pages also show these messages instead of the
cross-reference.
How can I print the Word doc without the cross-references being modified?
Thank you, YHD.

Cross-references will always update when a document prints out.

You can turn that off with Tools>Options>Print>Update cross references. But
if you do, the cross references will be "wrong" when you print.

During editing, the cross references have been damaged. You need to
re-insert them.

You should never finalise a document until all damaged cross references are
fixed. Then it will automatically print correctly each time without error.

Chances are the problem is unresolved tracked changes. Turn off Track
Changes, then Accept all changes in the document to remove them. The cross
references may come right when you do. If they do not, you will have to fix
each one.

Cheers

Hi John,
Thank you for your reply. Turning off the track changes didn't change
anything, so I guess I have to fix each cross reference individually.

But I don't understand what I did wrong originally. As I wrote the text did
the following:
- inserted equations and tables in the document.
- created captions with label Eq. , but since I want the equation captions
to be in the format (1), (2), ..., I removed Eq. and put in the parentheses.
- moved the caption to a place on the line specified using formatting.
- inserted cross-references as I wrote the text.

One other thing I don't undestand (which may or may not be linked to the
above problem): when I insert a cross-reference I specify only label and
caption, but it inserts the entire equation with label and caption. I then
have to highlight the equation and delete it.

Thanks !

I should add that I have the Print option "hidden text" and the View option
"field codes" unchecked when I try to print, convert to pdf, etc.

Hi YHD,
I can help with the problem of inserting the entire equation instead of just
the label and number. I had the same problem a while ago and Suzanne S.
Barnhill posted:

"Put the equation and caption in separate cells of a single-row, two-column
borderless table."

It worked perfectly, though I'm not sure why it's necessary.

Word bookmarks the entire paragraph as a caption; if you don't have the
equation in a table, that includes the equation.
