Grouping in Mailmerge

Hi, I am new to MailMerge and I want to print out letters
to Schools who each have one or more students allocated to
them. I have already got a query which selects the
relevant info from more than one table (which includes One
sided and Many sided relations). I have set up a Report
which uses Grouping to ensure that, when a School has more
than one student allocated, the School Name appears only
once with the student names listed against it (I have
grouped by SchoolID). However, when I set up a Mail Merge
based on the same query as used for the report, I get a
separate page for each student. Eg instead of one page
showing School A with Students1, 2 and 3, I get one page
showing SchoolA with Student1, a second page showing
SchoolA with Student 2 etc. Is there a way to group
records in a Mail Merge, just like you can do in the
Report, or is there a way to do this in the query itself?
The same question applies to printing labels based on this
query. I will want to print the School address only once,
irrespective of how many students they have been
allocated. Thanks, Noel

It is possible to do this from Access, but it requires a good deal of VBA
programming.

I'd suggest you consider setting your letters up as Access reports.

Thank you for responding. I got a similar reply to one of
my other posts. I think I will do as you say - make my
letters actual Reports. Seems strange that Access can't
group in Mailmerge as it can in Reports though. Cheers,
