Dear Community:

I have generated a pps file which has some background music, I used insert a
sound from file option. The background music plays fine in the pc that
generates presentation but when I email the pps file to others they do not
have the background sound. How can I save the sound file in the pps file and
send it out?

You may want to give PFCExpress (completely free) a try, it was made
specifically to handle this.

Dear Ali,

Video will not travel with your PPT. Here's what you'll need to do:

Creat a new folder
Save your PPT into the folder
Save your video into the folder
Open the PPT from the new folder
Reinsert the video saved into the new folder into the PPT
Close out of PPT
In Windows Explorer, browse to the new folder right click on the folder
Send to Compressed (Zipped) folder.

Attached the zipped folder to the email. Depending on the file size, this
may or may not work for you.

The failure to play an audio clip in a PowerPoint file is probably
caused by a broken link to the audio file.

Usually, audio in WAV format will be embedded in PowerPoint while
audio in MP3 or other file formats will be linked to PowerPoint. And
more, sound files larger than 100 KB (i.e. anything but a short sound
effect) will be linked to your presentation rather than embedded in
it.

What is the difference between Linked and Embedded? Embedded means
that when you move the PPT on your computer or e-mail it, audio will
be moved together. When audio is linked, it will be lost if you move
the PPT or e-mail it for the link to the audion file will become
broken.

The solution is to put the audio and the presentation in a same folder
and reinsert the audio to PowerPoint. When you move the PowerPoint
file, please move the folder.

If the folder is too big to be mailed, you may like to use a
PowerPoint compressor to reduce the file size or convert it to Flash
with a converter like PPT2Flash Standard
