Forms with fields do not retain information

G

Gilles Desjardins

I regularly receive forms from work with automatic fields in them. These
fields are text fields that contain info about my next tasks. When I receive
them by e-mail I save them to the C:\ drive and then open Word (2003) to
view the forms. I can see the text inside the fields (they are grey), but
for some forms when I click on the printer and the printer receive the
request, all or most of the text disappears from the screen and does not
print. Only the text outside the fields print.
Any comments on this behaviour, has anyone else experienced this? The sender
uses Word 2002. We both use Outlook.

Thank you for your time,

Gilles

Hi Gilles,

My best guess would be that the sender has not protected these documents as a
form when sending then. And on your machine Tools/Options/Print/Update fields
is activated. So the fields are resetting to the default when you print.

The person sending the documents probably has some reason he's unprotected the
document after filling out the form. Ask him to click the "padlock" button in
forms toolbar before sending you the document and see if that makes a
difference. Note that he should also be mailing it to you as an attachment (I
assume this is already the case, but one never knows...)

Hi Cindy,

You were right on both assumptions! My "update field" check mark was on. AND
If I lock the form before printing it prints correctly.

Thank you for your input. Saved a lot of time.

Gilles
P.S. I visited Switzerland in 1986. Beautiful country.
