format discovery

Gwen Hoffnagle

I am editing a Word document (not sure which Word version it was created in,
but I have Word 2003) in which the line spacing is 1 1/2, but the spacing
between paragraphs looks like 2. I want to change a paragraph break, but I
can't get the same spacing. I can only get 1 1/2 line spacing or 3 if I
insert two carriage returns. Even if I clear the formatting and reformat the
section I want to edit, I don't know how to find this particlular formatting.

For the bigger picture, how do I discover formatting such as the above so I
can apply it to edited material. I am aware of the formatting box in the
task pane toolbar but it doesn't help me with this answer.

I tried to copy the docuemnt here, but the website ruins the formatting. I
can email the document in question if necessary.

Thank you!

Gwen,

Format | Paragraph has the options for line spacing and for the amount of
space to leave before and after each paragraph. So you may want to reduce
the amount of space (6 pt, 12 pt, 18 pt, etc.) after the paragraph since
you're in 1.5 line spacing. You can also set the value to be zero or Auto.
You may want to try several different values for the Before and After
paragraph Spacing to see what looks best on the page. You can just
right-click inside the paragraph and choose Paragraph from the menu --- that
takes you to the Format Paragraph dialog. If these paragraphs were formatted
using a Style, then it's easier (and recommended in Word) to modify the
formatting of the Style - that way all the paragraphs that were formatted
with a particular Style will take on the new formatting automatically. You
won't have to format each one individually.
