Format changes when opened from an email attachment

Hi, I prepare letters for the chancellor that have to be precise.
When I email the letter as an attachment to the secretary to print,
the letter is not the same as the one I created. The font is different
although we both have century school book, sometimes the margins are
different and sometimes a one page letter will become 2.

My secretary and I do not have the same operating system nor do we
have the same version of word. Is this causing the problem and if so,
is there a work around?
