format changes when emailing

I type a word document to print & post in the plant... I click on the email
icon in Word to email it right away to the administrative staff as well.
When they receive it, my "from/to/regardgin" is all misaligned. How do you
make the format stay?
 
To preserve the formatting, send the document as an email attachment
(preferably converted to PDF format).
