Font installation in Powerpoint

I am using PowerPoint 2002 in Windows XP SP3.

I am trying to save one of my PPT presentations on to a USB thumbstick for
use on another computer. Because it will be used on another computer I wish
to embed the fonts used in the presentation and set the save options that
way. However when I try to save I get a popup that says

"Some of your fonts cannot be saved with the presentation:
Font: Univers
Reason: Not installed"

That is weird because this presentation was created on the laptop I am now
trying to save it on. The font "Univers" is present on the drop down list
of fonts available. What do I do? How do I find out where to install this
font. PowerPoint's help does not mention Windows XP.

Univers is a "copyrighted, protected" font and can't be embedded in
PowerPoint files. You can, however, copy the Univers fonts from the
Windows\Fonts folder to the thumb drive and install them on the new computer
but, of course, that would be a violation of the copyright. That, or
changing the font used to a standard Windows, Office or other embeddable
font will be required.

Could it be that you've got just Univers regular installed but have
used the bold or italic versions and don't have the bold/ital fonts
installed?

I do not think so because if I use bold or whatever I do it from within PPT.
They all seem to be available for use from the drop down list.

Tahoma or Arial are very close to Univers font in size and character shape.
Tahoma appears to be slightly higher at the same point count and Arial seems
to be slightly narrower at the same point count but they both are really
close. Both are supplied with Windows XP or later so there should be no
embedding necessary.

One other suggestion, make sure you save to the computer's hard drive first
then copy the file onto the thumb drive. Many times a save directly to a
removable thumb drive will give weird error messages.

Still, this has me curious.

When PPT finds that a file's not embeddable because of copyright/embedding
rights restrictions, it's always given a different error message; it
hasn't
claimed that the font wasn't installed.

A don't currently have a copy of PPT 2002 installed on the machine I am
using at the moment. I have had really weird error messages, those that
really don't pertain to the error, when saving to removable thumb devices
(hence my suggestion to the OP to save to hard drive first then copy). I am
giving the advice from memory when I used to use PPT XP regularly. The
other thing I am thinking is that the OP is using a file that has been
created on another machine and the font was somehow embedded from that
machine. I don't think a "double embedding" works but I have no way of
checking this out. The Univers font would then show up on the OPs machine
but possibly would not be re-embedded?????? What do you think of the last?

One final question, If you have read my post to Steve, or even if you
haven't, where was the original file created that you are having issues with
concerning Univers? Was it originally created on your computer or was it a
file or template from another computer that you are editing? Trying to
figure out what the issue may be. Thanks for responding back.

I no longer remember. The original presentation has been modified many
times since the earliest versions yerars ago.

PowerPoint (actually Windows) will fake the bold and italic versions
of a font as long as you've got the regular/medium version installed.
To find out what you've got and don't have, you have to go to Control
Panel | Fonts or look in the \Windows\Fonts folder.

Fascinating. Looking in Control Panel | Fonts I find I have no Helvetia
fonts at all!

That is wierd because they are available in my PPT and elsewhere. I must
have created these presentations on some older PC that had them. Now I have
to find it.

I've looked through my other PCs and cannot find Helvetia installed on any
of them. Must have been a very old PC that I first used it in.

Is there a quick way to change all the Helvetia used text into another font?
Without going through it one slide at a time looking for Helvetia text?

With the file open click Format, Replace Fonts, select Helvetica and choose
a matching font. One that should be close is Arial or Tahoma for that font
also IIRC.

(I really misspoke. I meant Univers - not Helvetia. My error.)

But you are correct. I never looked at the icon next to the fonts. But
next to Univers the icon is indeed a printer icon, not a TT icon. So you
are absolutely correct. Bingo!!

I also tried an experiment: started my PPT in blank mode and looked at what
fonts were available for use. Surprisingly the printer font Univers was
available for use in a fresh presentation. That is why I probably used it
in my presentations, not because I had installed it.

I almost never print my presentations as they are used only during lectures.
So this is really annoying. The reason it matters is not because the
substitute fonts might "look" different, but because a substitute font can
make a length of text appear longer and therefore extend beyond its text
box. Occasionally I have seen that happen and never understood why. Now I
do.

Thank you for clarifying. I learned something. I will look for a setting to
not let PPT show me fonts that are just printer fonts. They are meaningful
to have in Word but not in PPT.

Thank you. That is what I needed.

Turns out the reason I used Univers (I misspoke when I said Helvetia) is
because PPT made it available to me as a "printer" font. I had not
previously realized that purely printer fonts may also appear in the font
choice box.

Glad you got it working OK. Glad Steve picked up on the built-in printer
fonts as I certainly didn't think of them being an issue.
