Export Yes/No Fields to MS Word 2007 - check box is missing

Susan May

I have a bunch of Yes/No fields in my Access form where I check off if they
have certain licenses, and I attach this to a query which I import into a
Word merge document. When I view the data in Word, it shows up with a
Yes/No, rather than a check box that is checked or unchecked.

How can I get the check boxes to appear in MS Word's mail merge file?

Many thanks.

How do you "attach a form to a query"?

Are you aware that a true Yes/No field in an Access table stores a value of
0 and -1?

If you create a query than returns the values of one/more yes/no fields, you
could elect to change the format in which those values are displayed in the
query, which you might then be able to use in your Word merge document.

I set up a mail merge document in word and used a query as the data list. I
am aware that in access a logical field can be Yes/No, or 0/-1, but these are
new fields that I created, and when I add them to the MS Access form, they
come over as check boxes. How do I change the format in the Access query to
look like check boxes. That is what I don't know how to do. Can you help me
with this Jeff?

I don't know if the output of an Access query (you ARE talking about an
Access query, not a query from within Word, right?) can be formatted to
display a checkbox, but you could right-click on the query's 'field' and
check the options.

I suppose another alternate approaches might be to use a field expression in
Word to display a filled checkbox or an empty one, depending on the value
passed in.

Good luck!

Yes, an access query is what I'm talking about. When I click on the
properties in the query, there is only Yes/No, True/False, or On/Off. Why
does the form look different than the data in the query. When you run the
query, it has a checkbox. I don't know to convert that in Word. Not real
good at field expressions in either program.

Consider posting your question on field expressions in Word to a Word
newsgroup if no one here can help.

I'm more familiar with what Access generates, and "exporting a checkbox"
doesn't ring a bell...

Good luck!
