Email Filing Question

Hi - I need to save emails filed in Outlook Folders to corresponding
files which sit on my C:drive. At the moment I have to copy/save them
manually which is time consuming.

Can I set Outlook up to automaticallty duplicate these email files to a
pre-destined folder on the C: drive as they filed in Outlook?

i.e If I save an email to a folder in outlook called "Dog" can the same
email be saved to a folder on the C:Drive also called "dog"
automatically at the same time?

It would be more than great if I could do this!

Unless you are connected to an Exchange Server for email - your emails
already ARE on the C drive, in the folders within your pst file.
What EXACTLY are you trying to achieve by this?

Hi,

I though this might sound like a pointless task. I will try t
explain...

I am a surveyor in an office where everyone uses paper based propert
files - Not so green and they clog up the office.

These files are organised into sections one of which is fo
correspondence. All my colleagues have to print each email they send an
put it in the paper file as we need to keep a record of all th
correspondence for a particular property so if we get sued we have
paper trail. Each file gets audited on a regular basis so it is essentia
they are up to speed and in order.

I hate this system as it involves lots of wasteful printing and takes
lot of time. I use paperless filing and keep a virtual property folde
for each case on my C: Drive.

However at the moment in order to save email correspondence I move th
email to the appropriate folder in Outlook and also manually save th
email to the property folder on the C:Drive. This is also tim
consuming.

If by way of a macro or some other tool I could automatically create
"copy to" function each time I move an email to a folder in outlook i
would be great.

i.e.

1. An Email comes in for a property in Manchester.
2. Email moved from Inbox to outlook folder called "Manchester"
3. As this happens a duplicate of the email is copied to C: Manchester
Correspondence.
4. If the Outlook folder is erased in the future the copied email remain
permanent on C: unless deleted manually from the drive.

I need this function to save me time saving each email individually. I
is not enough for me to simply have my email saved in folders withi
outlook as the auditors do not see this as a saved permanent copy o
correspondence.

Having emails saved on C: also allows my colleagues to see emails withou
having to have access to my Outlook account.

I hope this makes sense this time!
