How often are you polling for mail? If you poll too often, you don't give
your internet connection enough time to contact your ISP mail server and
download before potentially having to try to do it all again. Especially if
you're AV software is scanning your incoming and outgoing mail. If you have
multiple profiles that you're pulling mail for, this could exacerbate the
problem.
If you're polling more frequently than 10 minutes, please increase it and
see if that resolves the issue. If not, reconfigure your AV software to not
scan your incoming and outgoing mail. This won't compromise your security
since your real time scanner will still be active.

I'm sorry...I'm kind of new to all of this. What is polling mail? How do I
know if my AV software is scanning my incoming & outgoing mail? And, I do
believe I have multiple profiles. We have the email set up to come in to one
area through two different email names. So, how would I reconfigure my AV
software?

Polling for mail is how often Outlook is configured to check your ISP's
server to check for incoming mail and also send mail.

If your AV is scanning incoming and outgoing mail, there should be some sort
of active icon in your system tray I would imagine, or even an indication in
Outlook as you view send/receive that some AV activity is occurring. That
could entirely depend on what AV software you have installed. Reconfiguring
your AV software could mean uninstalling and then reinstalling without
configuring email scanning. That would be a question more appropriate to your
AV software rather than Outlook. They should have a website you can check and
technical support available to you.
