Downloading messages sent in OWA with a POP3 setup

Hi,

We are rolling out OWA (Exchange 2003) to one our company and would like to
know how to configure Outlook 2003 to download messages. Here is our
situation, my question will make alot more sense in a minute:

One of our remote teams is setup to access their e-mail via a POP3 account
and the rest of our company uses Exchange mailboxes.

If one of these remote users is without access to their notebook (for
whatever reason), we are asking them to use OWA to view their mailbox so they
can continue to work. Now once they get their system back, all messages in
their Inbox are automatically downloaded by the local Outlook installation
when they connect.

What I would like to know is how do we configure Outlook to also download
any messages in the Sent Items folder that is on the server? I'm fairly
certain this is possible I just don't have a clue how to do it.

One additional question, currently the local installation is set to leave
all messages on the server for 5 days after they are downloaded. Whether or
not it is possible to have Outlook download the Sent Items, will it delete
these messages aswell after the 5 day period?

If it's via POP access, it's impossible, since POP protocols have no concept
of "folder". They have only the mailbox. If the messages is in the mailbox
and hasn't been previously downloaded, it will be. You can certainly move
Sent Items on the server to the Inbox and a POP client will then download
it, but the client will have to know that this isn't actually new mail and
the addressing information will be strange looking.

Why aren't you using offline folders? The mail will stay on the Exchange
server and be available in or out of the office and with Outlook or OWA.

Hi Brian,

Thanks for your response.

We are a relatively small shop and have chosen this setup for a couple of
reasons:

Only this small group of our users are remote however they are never in the
office, nor do they ever sign in or connect to our network.

We have dial-up accounts setup for them however it is not cost effective for
us to give them VPN access to our network.

They are only going to be using OWA once or twice a year so I guess I will
give them instructions on how to move the messages both to their Inboxes and
back to their Sent Items.

Once downloaded from the Exchange server via POP, there's no way to move the
messages back to the Exchange server. You may find it better for these
people to enable the option to leave a copy of the messages on the server.
That way, the POP account will download them to the local Outlook client,
but they'll still be visible in OWA.
