Document templates

I am trying to add some autotexts to a document template - bill.dot - on a
networked system. When I add the autotexts, they work fine on my computer
but not on anyone elses. I have opened bill.dot and looked in Templates and
Add Ins and there are about ten .dot files listed there. How do I make the
changes so that they update on everyone's computers and not just mine?

Hi LM,

Assuming you're all attached to the same workgroup, the modified template should go in the workgroup templates folder. If you've
done that and the other members are still getting the old template, it may be because they're using a copy from their user templates
folder. These folders are defined under Tools|Options|File Locations.

Thanks for your reply. The other members are getting the updated template OK
and it is in the workgroup templates folder. I have made a couple of
physical changes to bill.dot and every user is getting those changes OK. It
is the autotexts they aren't getting. I have opened the template (bill.dot),
added the autotexts and clicked on "save all" but, when doing a new document
based on bill.dot, the autotexts are not there for the other users, whereas
they are for me.

Just as a follow-up, when I open up each of the .dot files that are listed
when I go to Templates and Add Ins in bill.dot and look at the autotext
entries in those .dot files, all the extra autotext entries that have been
added in the past are in each of the files. Does this mean that, to add
extra autotext entries to my bill.dot, I have to open up each of these other
..dot files that are listed under Templates and Add Ins and put the autotext
entries in them all? I am finding this quite confusing to explain. All this
stuff was set up a long time ago and the person who did it all is long gone
and I have been nominated to look after everything, having probably slightly
more knowledge about Word than some other people in the office. Any help
would be most appreciated.

When you added the autotext, did you make sure to attach it to 'bill.dot', or did you attach it to another template (eg
'Normal.dot')?

Hi LM,

First, open your 'bill.dot' template - not a new document based on it. That is, use File|Open then select 'Document templates
(*.dot)' from the 'Files of type:' drop-down and open the 'bill.dot' template.

Then when you 'Add' the autotext entry, use the drop-down box to select 'bill.dot' and click 'OK'.

At the moment, you've probably got the autotext entries attached to 'Normal.dot', which might explain why you've got access to them
but not your co-workers. You can use the Organizer, to transfer the autotext entries from there to 'bill.dot'.

Suzanne S. Barnhill

To add to what "macropod" has said, when you create AutoText entries, no
matter what document or template you have open, they are saved in Normal.dot
by default. You have to specifically select the appropriate template in the
"Look in" box if you want to save the entries in that template.

Thanks for all the help I have been given.

I think I have to actually copy them to everyone's individual normal.dot as
I tried this with one person and hers are updated.

I am doing this from home using a VPN so have to try things of an evening
then wait till the next day to see if they have worked.
