I have read that a custom dictionary resides on the C drive of the pc where
it was created. Is there any way for a custom dictionary to travel with its
document in a network setting?
We had a particular document with many foreign names (personal and company).
The document had to be proofread each time it was revised.
Yes, there is a custom dictionary where Word places all the words for
which you clicked "Add" on the context menu or in the spelling dialog.
No, it does not normally travel with the document. But you can do that
manually when it's needed.
To locate the dictionary, open the Tools > Options > Spelling &
Grammar dialog and click the Custom Dictionary button. The second
dialog shows the name of the current custom dictionary. Because MS was
too skimpy with the available space, only part of the path will be
shown below the list box. You can click the New button and use the
Save In dropdown in the resulting dialog to find the complete path,
then cancel all the dialogs.
To find and copy the file in Windows Explorer, you'll probably have to
go into the Tools > Folder Options dialog there and choose to display
hidden folders. The default location is under C:\Documents and
Settings\<your name>\Application Data, which is a hidden folder.
DO NOT use the default file name Custom.dic when you send it to other
users, because that will conflict with their default custom
dictionaries. Choose a descriptive file name that won't already exist.
On the other machines, the dictionary file should be copied to the
correct folder for that user -- which will differ at least by the
<your name> part and possibly in other ways. Then they'll have to go
to the Tools > Options > Spelling & Grammar dialog in Word and use the
Add button to load your custom dictionary in addition to their
standard Custom.dic.
