I am trying to make a template or document, which will be accessed by all the
people in the office to create a specifications sheet. This is supposed to
be pretty much point and click and the information needed will already have
been entered. How is the best way to go about doing this? I thought at
first with auto-text, but that would mean entering all data on each system -
any other thoughts?

You can use AutoText, and store it directly in the template you're planning
to distribute. Anyone who bases a new document on that template will have
access to the AutoText entries.

Use the Insert > AutoText > AutoText dialog, and set the "Look in" dropdown
to the name of the desired template.

See http://www.word.mvps.org/FAQs/Customization/AutoText.htm for more
information you'll find useful. Also look at
http://www.word.mvps.org/FAQs/TblsFldsFms/AutoTextList.htm.
