I assume hes using exchange ost?
There maybe third party tools, see www.slipstck.com , other than that he'd
have to drag the emails to his chosen location.
You could of course inform him that you are putting in place mailbox
limitations and as such unless he stores his mail on his workstation pst he
is going to lose access to his mail/records.
You could also tell him that this is how email works, and if he doesnt like
it he should use written correspondence, then he could store this just how
he likes :)

thanks actually putting limits on mailboxes is what started this whole
situation but he is the managing partner so it is a little difficult telling
him anything. thanks again

a 2 gig mailbox is killing your server? sounds like they need to invest in a
more robust hardware/exchange version

I would normally agree but in this case it is laziness not necessity

He may be the managing partner, but you I take it are the IT
You will have to think of a method of explaining the facts of IT life, and
being obstinate in his view of how IT should work doesnt hack it, either he
complies, invests in a heavier back end or risks server meltdown and
subsequent other costs. You might deliver to all the partners a written
report on the state of their IT and the consequences of failure to impliment
your reccomendations. - at least you can say they have been warned

si i didnt get slammed at a later time with "why couldnt i do this my friend

way early. thanks for your help i really appreciate it.

If a friend is mentioned ask what status/qualification the friend has in the
IT world.
On a side note if his mail contains many large attachments, there is a pay
for third party tool on slipstck site that removes attachments from email,
stores them on a location of your choice, outside outlook, and mainatins a
link in the origonal mail to the attachments
