selecting Contacts

John

Back in May I posted a question about displaying contacts. Now I can't seem
to find it even using IE to browse for it... My question was about getting
contacts to display properly in the "address book" correctly so you could
find them when clicking on the "To" button. I thought someone then had
responded that using Address books was the wrong way to do things nowadays.
but since I can't find it, I can't find how he was saying you "should" do it
today. Am I remembering correctly that the suggestion was Address books are
out? If this is true, how do you get Contacts to display when you click
"to"? I am curious now because I see "Public Folders" listed there but even
though I do have Contacts in the "public folders" I see nothing under it...
I can right click on the folders in PF's and say show as address book, but I
am still thinking he was saying there is a better way!

Outlook 2002, 2003 and 2007
Exchange 2007 on server 2008...

If you have Contacts in the Contacts folder but they are not accessible when
you click on the To button, check these settings:

Make sure the Contact folder is enabled as an email address book. Right
click the Contacts folder, choose Properties then Outlook Address Book. Is
the box to enable as email address book is checked?

If this is grayed out...

Go to Tools | Email Accounts, choose View or change existing directories or
address book. Is the Outlook Address Book present? If it isn't listed, add
it and close and restart Outlook. If it is listed, then remove it and close
then restart Outlook and repeat these steps to add it.

If you are using Outlook 2007 and the the checkbox is grayed, you'll need to
make a new profile as you can't add the Outlook Address Book service due to
a bug.

Dear John,

I agree with Diane's suggestions that we need to check the option "Show
this folder as an e-mail Address Book" to display contacts in Outlook. For
more information, please refer to the following article:

Contact information does not appear in the address book in Outlook
http://support.microsoft.com/default.aspx?scid=kb;EN-US;287563

In case the option "Show this folder as an e-mail Address Book" is grayed
out, please perform the steps in the following article:

"Show this folder as an e-mail Address Book" check box is dimmed in Outlook
Contact folder properties
http://support.microsoft.com/kb/197577/en-us

If you have any questions, please let me know.

I do have a question, so you are saying there is no better way than to use
the "display as an addrss book"? I swear someone told me a while back that
there was a better way and that is why Microsoft wont fix the issues with
getting contacts to display properly when shown in an address book. I don't
know why my previous post is totally gone off the server though.... I still
have it in my sent box so i know I sent it, and I even see some of the
replies since I replied to them...

Depends on what you want to do. There are ways to send a message without
referencing the Address Book interface (like selecting Contacts and dragging
the selection to a mail folder). Whether they're "better" or not is
debatable and dependent on what you wisht o accomplish.

Please tell me this then, If you have around 3000 contacts in a shared
public folder, and you want employees to be able to email these contacts.
Employees are accustomed to clicking the to box and adding them there. I
see a folder called "public folders" when you are there (after clicking the
to button) but nothing is under it. If I go out and do the properties, show
as address book.. on this public folder, it then shows up after clicking the
to button, but NOT under the link that says public folders.... This has
given me the feeling that maybe there is some way to just get the contact
list to show up without saying show as address book. This "feeling" is
increased by the fact that newsgroup responders in the past have said,
address books are an obsolete technology that you should stop using...

I don't really understand the difference between a contact list and an
address book.... but, if Microsoft has some intention for contacts list to
replace address books, then I would like to know how you are supposed to use
one without the other for simple things like, sending email...

I'll bet it shows up under "Outlook Address Book" and I'd expect that.
This has given me the feeling that maybe there is some way to just get the
contact list to show up without saying show as address book.

If you want any contact folder to appear when you click To, it must be
enabled as an address book and will then appear in the Address Book
interface.
This "feeling" is increased by the fact that newsgroup responders in the
past have said, address books are an obsolete technology that you should
stop using...

That's because Microsoft hasn't modified how the Address Book service works
since Outlook 98's Corporate/Workgroup mode.
I don't really understand the difference between a contact list and an
address book....

The address book is a view of all the contacts having resolved electronic
addresses that are in the address-book-enabled Contacts folders. It allows
Outlook to translate a name to an address.
but, if Microsoft has some intention for contacts list to replace address
books, then I would like to know how you are supposed to use one without
the other for simple things like, sending email...

Neither I nor anyone else here can really know Microsoft's intentions.

Dear John,

As Brian's detailed explanation, Outlook uses Address Book to store names,
email addresses, fax numbers, and distribution lists. All contacts should
be displayed in the Address Book by checking the option "Show this folder
as an e-mail Address Book". Regarding the Address Book, I also would like
to share the following articles with you:

Add people to the Address Book

http://office.microsoft.com/en-us/outlook/HA102643011033.aspx?pid=CH10249981

Save an e-mail address or name to the Address Book

http://office.microsoft.com/en-us/outlook/HA102557811033.aspx?pid=CH10249981
1033

The Address Book doesn't show any names

Have a nice day.
