Form field entries disappear when printing

Hi all,

I have some documents that I believe I or someone added form fields to.
They have gray boxes where some of the data must be typed. They use to be
fine, but now when I print them (I haven't made any recent changes to them),
some of the data just doesn't print. On screen, when the print command is
issued, the areas in question all turn to tiny zeros (or something looking
sort of like tiny zeros).

I have word 2003 on the computer and it's on a wireless network (which is
'new'), but the printer (Pixma 530) is hooked directly to the computer where
the documents are being printed from and where they reside.

Any ideas?

Thanks,
CW

It sounds as if the form is not locked and the fields are updating (being
cleared) at print time.

I am using MS Word 2007, and I don't seem to be able to find the "locking"
property as described below. I have form that is protected to be only for
filling in forms, however some completed fields just do not print. I then
have to check the original form that was sent to me to make sure my printed
version includes all the data that was entered.

Any help would be greatly appreciated!

I must be missing it, because I can't seem to find the lock anywhere. Also,
I can't make changes like the one you suggested inside the network in which I
work.

Thanks!

The developer tab is not displayed by default - Word Options > Popular >
Show Developer Tab in Ribbon
The lock is at Protect Document > Restrict Formatting and Editing > Stop
Protection.

As for your company network, Word 2007 makes the working with protected
forms particularly inconvenient. The add-in from fellow MVP Greg Maxey
simply adds the familiar Word 2003 Forms toolbar tools to the ribbon.

If you are expected to create and edit forms using Word 2007 as part of your
job, you should point out the shortcomings of 2007 for that task and suggest
the add-in as a means of increasing your productivity. If the IT support
refuses to provide the support you need to do your job properly, take it to
the management who made the decision to adopt Word 2007 in the first place
without thinking of the potential consequences..
