When using “Task†the task should link to certain actions like “Phone Log†or
“Mail Message†or “Appointmentâ€. What I think task should do is have a link
that when the task is created, there is a drop down menu that links to a
required action to be completed. Example: A task is created to send email
to a contact. In the task window the item email contact is selected. When a
person opens the task, (send email) it will have the entry of to whom the
email is to be sent to. The person completing the task then clicks on the
start button on the task window and a blank email message is opened
automatically. Upon sending the email the task is automatically completed
and logged accordingly. The task is removed from the task list and the email
is linked to the task and to the Journal (email linked to Journal, account,
and the contact record.

As it stands right now I have to open the email under the account manager
and have to make dual entry for the task completion information.

This feature already exists for a long time. It is called "Mark for follow
up" You can rightclick on any e-mail and choose Follow up. You can set a
reminder as well. Outlook 2007 does a better job at integrating this with
your Tasks in the new To-do list feature.

Your suggestion would only make sense if all you do with Tasks reminding
yourself to e-mail people. I (and many other people) also use it for non
e-mail related taks like "Clean the ... room"

I think you miss understood my request… All tasks items are reminders to do
something with a means of tracking the progress… Maybe I should use “Notesâ€
as reminders instead of “Tasks†But notes don’t have due dates that will pop
up reminding you to complete the item.


If I sent you a task to contact some one to plan a meeting, I think in the
task window would be a drop down list or a button list available with the
type of task items to complete. In this case lets say the items to select
from are 1. action item (requires you to do something) 2. phone log (you make
a phone call and it logs it automatically) 3. Mail message (links directly to
your email) 4. schedule meeting and so on.

Now in the task window it would also offer you to select the contact
person… ( I know it is at the bottom of the task window) The task window
would look like this

Subject line is now a drop down menu with the selectable items as I listed
above. In this case lets make it an action item. (Clean room) next to the
subject line is the description where you type in “Clean roomâ€. Directly
below is the person to contact, or in this case, yourself. So you click a
button and your contact list(s) opens and you select the person to clean your
room, (yourself) you fill in the other data on when it is due and the
progress and such… nothing else really changes except the action taken when
you click the start button in the task window. In the case of “Clean Roomâ€
it is an action items and the task would just record the total time spent on
the project until the “completed†item is selected under progress. Then it
would record the total time and date completed, make the necessary Journal
entry and close out the task item automatically. If the task item were to
send and email, when you press the start button in the task window, it would
open the mail manager and insert the contacts name/email address
automatically. A task requiring a phone call would automatically open the
phone log at the click of the start button, show the contact information, and
log the call to the Journal upon clicking completed.

In my case, lets say I sent an email. I “Red flag†it , and when I “flagâ€
it a task item automatically opens asking me what needs to be done in
regards’ to that email. The red flag opens a task item window. Red flagging
an email only highlights the email and I have found it does nothing else.
The red flag only draws attention to the email not what I need to do with it…
Maybe the person needs 2 weeks to get back to me with new information based
on the email I sent. How does red flagging set a time line? I can’t find
where it does. I can set a reminder and maybe that is the best way to what I
am trying to do.

Outlook is not a project planner. You might want to take a look a Microsoft
Project. If you want to achieve this with Outlook you can achieve this by
creating a workflow system (requires Exchange) and build your custom forms.

As for the flagging. You can freely type in the Flag To field to include a
message. Another option would be to drag and drop the e-mail to the Tasks
folder (right and left mouse click dragging/dropping have different results)
