shared documents directory does not work - why?

When users open files (in word for example) that are saved in the shared documents directory
they open in read only state. I need to work out why this is and fix it asap so that multiple users can update the same file

Some history first; the computer with this problem had its windows xp installion corrupted and another one was installed (as a second xp operating system) so that backups could be taken of critical files. Once this was done, the initial coruupted installation was overwritten (reinstalled over the top of the corrupted). The second installation (the temporary second one, to get file backed up) was left on (because I don'ty know how to remove it) and appears on the boot menu. This is not a big problem as through the boot menu it defaults to the reinstalled original xp operating system which seems to work fine.

The only thing is that now I have noticed that the shared documents directory does not work. All files in it can only be accessed by the owner or administrator, not other users. Whenever anyone other than the owner opens a file from the shared documents directory it is read only. Please help me fix this.
