Searching by last name

Guest

When I press the "To:" button when sending an e-mail to search for a name, it
currently searches by the "Name" field. However, this field is organized by
"Title + First + Middle + Last" which results in great difficulty finding a
person. For example should I enter "Ms. Mary Smith" , "Miss Mary Smith" or
"Mary Smith". It is even worse for "Bob" or "Robert"...

I would prefer to search by something diffinative like "LAST NAME"

I have changed my "Default Full Name Order" to "Last First" but that does
not seem to help in this situation.

Does anyone have some Idea of how to fix this before I lose my mind...

How you set the full name order has nothing to do with the Outlook
Address Book. It only applies to the Contacts Folder.
You can only control the sort order of the Outlook Address Book. It is
not clear whether you want to control sorting or searches. I'll assume
you actually meant the former since searches are performed within
Contacts Folders.
You did not post your Outlook version.
Depending on your version and mail support mode of Outlook, you can sort
the Outlook Address Book this way (check for your mode on the second
line of the Help menu > About):

98/2000 in Corporate/Workgroup mode:
Tools menu > Services > Highlight the Outlook Address Book service >
Click Properties > Set sort order

98/2000 Internet Mail Only:
Tools menu > Address Book > View menu > Sort by

Outlook 2002/2003:
Go to Tools > E-mail accounts > View or change existing directories or
address books > Outlook Address Book > Change… > Set your sort order there

Russ - All,

I am using Outlook 2003.

I have set my Contact List as an Address Book(Contacts/Properties/outlook
Address Book - Show this folder as an e-mail Address Bood) .

The address Book is set to "Show Names by File As (Smith, John)" (E-mail
accounts/Edit Directories and address boods/change/)

When I click "New-Email" and then the "To:" button it displays the "Select
Names" Screen. When I select my Address Book in the "Show NAmes from the:"
combo box
it displays columns "Name, Display Name, e-mail address, and e-mail type"
and a text box "Type Name of Select from list:" ( I just wanted to make sure
we were talking about the same screen.

When I type the Last Name I am searching for into the text box, it searches
through the "Name" column and does not locate my contact even though they
exist. The search value is searching on the NAME column which contains a
value of "Title + First + Middle + last". Which does not match my file as
settings, so I have no clue where it get's this value.

I simply want to be able to enter a last name into the text box and have it
find the user. This is very common in ACT, Gold Mine and Sales Logix, so I
assume that it must be possible in Outlook...

Thanks for your help, I have spent way to many hours screwing around trying
to figure this out...

Works just fine here. You have something misconfigured.
Check the settings for your File As... field. If it were configured
correctly, you would not be seeing Titles, First, Middle, Last in the Name
field in the Address Book. You would see Last, First.
As long as your File As... field is configured as Last, First, then typing
in the Last name will bring up every Contact with that Last name. And don't
forget you must restart Outlook to apply any changes you make to the Outlook
Address Book.

Russ...

That was it. I had not restarted outlook. How frustrating... Once I got
the settings right and then restarted, it worked correctly. Unfortunately, I
spent countless hours switching settings back and forth with no results...

Thanks for the help
