Reminders in Outlook calendar - need them more than 2 wks in advan

With my Outlook calendar in Outlook 2003 synced to my MSN/Hotmail calendar
through Outlook Connector, the system will not enable reminders of
appointments to be set more than 2 weeks in advance. This is a huge hole in
functionality. Many professionals, e.g., lawyers, need to be reminded of
court filing and other deadlines more than 2 weeks in advance. For example,
I sometimes need to know in some cases at least a year in advance that I need
to start thinking about various to-do's or deadlines. I made my desktop
Outlook calendar server-based on MSN to be able to take advantage of the
syncronization functionality. But losing the ability to set reminders at any
date I choose in advance is a huge price to pay for this. Please, please,
please enable this functionality.

How about the To Do's you speak of are made into Tasks? Then set your
start date for when you need to get started on them. Reminders are just
another interruption. Less of those is always better! Work from a
prioritised and scheduled plan and you'll perform more effectively.

Make a new category for each file and then all Tasks about that file can be
seen together (using Group By function in the Tasks folder). You can even
see them on a Timeline. Using Reminders to manage your work is a pretty
poor way of coping with workflow planning, management and reporting on
completed work - Tasks are the thing to use for work to do.

Judy, with all due respect, Microsoft has removed very important
functionality from Outlook by preventing server-based calendar users (those
syncing to MSN or Hotmail calendar) from setting reminders more than 2 weeks
in advance. I think Microsoft should be encouraged to bring back this
functionality rather than users having to develop workarounds. One can set a
custom reminder date in Outlook that's desktop (not server) based. The same
functionality should be in the server-based calendar. Regards, Eric

No, they did not remove something, just did not do a very good job of
documenting the reminder abilities.

You can use natural language to achieve any reminder interval you want. If
you want one for 6 weeks, simply type 6w and arrow out of the reminder
window. You can do this for hours, days, weeks, months, etc. You can even
set one for Next Christmas and the reminder will be set for December 25.

You are correct with respect to an Outlook calendar that is NOT synced to an
MSN or Hotmail server-based calendar that is the primary calendar in Outlook.
Reminders can be set for any time. However, if one syncs Outlook to one's
MSN account, e.g., to enable e-mail and one's calendar to be accessible from
anywhere - and one makes that the primary account in Outlook - reminders in
the calendar cannot be set more than 2 weeks in advance. The error message
says, "Reminders cannot be set more than 2 weeks in advance" when I set an
appointment on my MSN/Hotmail synced calendar for greater than 2 weeks in
advance. I suspect MS's reason for this limitation is to save server space.
So, the price to be paid for the convenience of having an online calendar
(thru MSN or Hotmail) accessible anywhere in the world and through Outlook,
is that one loses the ability to set the calendar reminders more than 2 weeks
in advance. As I said, a huge diminution in functionality.

This is my first time on this forum. My goal is to get MS to address this
limitation in functionality. Perhaps I should address this in the MSN forum.

YOur best bet is to address it to Microsoft directly via
(e-mail address removed). Put Outlook in the subject line.

I use Hotmail and the Outlook Connector, but I have Outlook as my default
profile, not Hotmail. This may very well be the difference I see in the
behaviors.

Thanks, Milly. Exactly. The difference you and I pointed out - which
"profile" is the default - is the root of the problem. MS encourages us to
buy into their server-based functionality to keep a constant revenue stream
(MSN/Hotmail subscription fees), yet takes away critical functionality. This

It will probably not be "fixed" as you noted in your response to my original
post. Having 250 million users of hotmail and, for the sake of argument,
10% of them using the MOOL option would require far too much server space to
justify the cost if the free/busy and appointment reminder options increase.

Mark it up to how limited some paid online services are versus what the paid
personal program services are and make your choice accordingly. I do not
see Microsoft changing this property any time soon.

Wait a minute. Are you saying you know of a way to have Outlook Connector
connect to your Personal Folder Calendar, Contacts, etc. instead of the
Calendar/Contacts, etc. created by the addition of the MAPI Hotmail account
in Outlook?
