Protecting a document

Hi

I have been asked to design a word doc.
The document needs to be protected so that the user can only enter
text/images (and formatting) in the relevant sections of the document. This
I can do via protecting the document and adding exceptions.

The document also needs to perform calculations. Again, the user can only
enter data into specific fields. Again, this I can do by protecting the
document and selecting "filling in forms" within the restrictions.

My question is this, is it possible to have both of the above working at the
same time in 1 document?

Have you tried to use forms protection, leaving one or more sections
unprotected, where users can insert contents?

Hi Stefan

Sorry, I am not quite sure what you mean? (I am learning the ropes with Word)

I have a table (say 3x3), I have then called up the Forms toolbar and
selected the Text Form field button.
I then add the field into each cell in my 3x3 grid.
If I protect the document, I would be able to add text (but not bullet
points or formatting etc) into these 9 cells.
How do I allow entry to one of these cells without having a Text Form field?

I hope the above makes sense?

The simple answer is that you don't. You may be able to use vba to unlock
the form insert what you require into the cell then lock the form again, but
you cannot have section breaks within a table.

Protection for forms cripples the ability to perform functions other than
actually fill in the form. If something else is required of the document,
why is it necessary to protect it? A better description of your document and
its purpose may produce a better way of handling what you are attempting.

Hi Graham

I have been tasked with creating a document that will be filled in by
external users.

The document needs a table that performs calculations (the user will insert
financial information for this year and then years +1, +2, +3).
I have tried inserting an excel worksheet.....but my managers had advised me
that this is not what they want!!
I therefore added a table, inserted fields etc and locked the document so
that it calculates totals etc automatically.

The issue is, once the document is locked, the user can not format text, add
pictures etc.

I don't think what I need is possible is it?

A document that can be freely filled in by the user....with a calculating
table.

You can format the table in a locked section and it will work as a form. You
can add other (unlocked) sections before and/or after the table into which
you can insert graphics free text etc. The formatting of the table can be
pre-configured with paragraph styles applied to the fields.

Many thanks for you reply.

Sorry to be a pain, how do I add an unlocked section? (I really am not
great with Word!!)

Your help would be greatly appreciated.

Insert section breaks as required. Then (Word 2000-3) tools > protect
document > editing restrictions > filling in forms > select sections. Word
2007 (by default) uses form fields in a different manner. From your
description I guess you are using the earlier version, but if not there are
similar options on the protect button on the developer tab.
