Problems with Contacts

I have just moved from Outlook Express to Outlook 2002
and I am totally confused.

When I clicked on the "To" button in OE, I got a nicely
organized address book with subfolders and mailing lists.
If I wanted to select say 10 people out of the 25 in
my "Club" folder, I would select "Club" and choose the 10
from that list.

Now I get every single contact in my address book and
have to scroll down through them all to find the 10 I
want.

I have spent ages trying to figure out when to use
contacts and when to use address books in Outlook. Is
there any really comprehensive explanation of this
frustrating subject?

They are one in the same. The Outlook Address Book is simply a dynamic view
of every electronic address in your Contacts Folder. It contains no data or
separate information.
There are innumerable ways to organize your Contacts: Distribution Lists,
Categories, and separate Contacts subfolders what most of us use. You'll
also find that using views of your Contacts Folders is a lot more versatile
than using the Address Book view.

Thanks for the quick response.

I understand that there are innumerable ways of
organizing contacts. But that's not my problem.

I want to send an email to a selection of people.
I click on the "To:" button and all the email addresses
in my contacts come up in alphabetical order. That's no
good to me at all.

In Outlook Express, I got all my addresses sorted by
folders. So I went into my Club Folder and selected the
10 names I wanted out of the 25. In Outlook, I seem to be
obliged to select 10 names out of 250 - i.e. the total
names in my address book.

I can go into the Contacts Folder and see the Club
Folder, but I haven't been able to figure out how to send
a mail to some of them and Bcc others.

I imported 250 addresses from Outlook Express into
Contacts.
I then allocated these to about 10 different categories -
Club, Family, Friends, Overseas Friends etc.
So by Club Folder, I mean Club Category.
When I click on To: I get the following options:
Show Names from the:
I have this defaulting to Contacts and all the contacts
are in alphabetical order - i.e. no categorization.
In the drop down box, I could select Outlook Address
Book, but this seems to be empty and doesn't allow me to
add any names. From reading up on this, The OAB seems to
be redundant.

In Outlook Express, when I clicked on the To: button, my
address book came up in Folders. So I could click on the
Club Folder and select the people I wanted from that
folder. Is it possible to do this in Outlook ?

As I said, Contact subfolders and Distribution Lists will show up in the
Outlook Address Book. Categories will not. You should have created
subfolders just as you did in OE if you wanted to view them in the Address
Book.

Categories can be used to filter or sort the Contacts Folder view, so it
should be an easy matter to move or copy each category's members into a
separate subfolder. Enable each subfolder as an e-mail address book (in
Properties of each folder) and you'll see them in the Outlook Address Book.

Milly Staples [MVP - Outlook]

A simple method to get all of the Club members into a new mail is to simply
display your contacts folder by Categories. Select the "Club" category and
drag it to your in-box on the folder list or Outlook bar. A new mail is
created with all of your club members neatly in the To: field. To put them
into a BCC: field, select all and then drag/drop to the BCC field.

Eureka!

My blind spot was that I didn't realize that I could set
up separate subfolders within Contacts. I was blinded by
the categories and all the wonderful things one can do
with them.

It's working fine for me now.
