Pop up when sending emails through mail merge

If I send an email using mail merge in plain text format once I click to send
to all recipients I get a message saying the following:

A program is trying to access email addresses you have stored in Outlook.
Do you want to allow this?

If this is unexpected, it may be a virus and you should choose "no"

Then there is a tick box to allow access for a specific amount of time.

I am sending the email out about 3000 people and this causes me massive
problems as I have to click yes 3000 to allow the system to send the emails.
I am not sure if it is something to do with a firewall. Has anyone got any
suggestions?
