linking contacts

In Outlook, you can link two contacts together. I can't see a way to do this
in BCM 07. Am I missing it, or is it missing?

GolfGal:

It is missing as a native feature that Outlook itself has. It is assumed
that you will (1 way only) link all Business Contacts together via assigning
them to a common account. Of course this 1 size fits all requirement does
not allow for the common linking need that might exist between Business
Contacts that have nothing in common with a single Account Record. This 1-to-
many vs. many-to-many relationship linking restriction of BCM has been quite
an annoyance to me for many years. Some feel that expanding this multi-
linking feature capability would introduce too much complexity into BCM for
the "average" small business user to be able to overcome. Thus, you and I
have been slotted with such a label accordingly.

There are some kludgy workarounds. For example, you could indirectly link
the 2 Business Contact records together via a shared Outlook Task or
Appointment record within the designated Contacts field.

For now, the bottom line is that you will have to adapt your workflow and
data management needs to fit within this BCM design limitation.

Tim: Where do you link the contact records together in Outlook? Why
couldn't GolfGal use the Initiated By field in BCM to link two business
contact together?

Lon,

You may have just shared another workaround for this. To your other question,
I am just about to install and migrate from Office 2003 to Office 2007
(tommorrow) and I assume that each Task and Appointment record in Outlook
2007 is similiar to Outlook 2003 with a Contact link-to field. In 2003, this
field is located in the bottom left corner of each Task and Appointment
record. With the new ribbon design layout for 2007 this field may be located
elsewhere behind a tab but I do assume and sure hope that it still exists. I
will soon find out myself.

Right... for tasks and appointments, there is a Link to Contact button on
the right side of the ribbon bar. But, in BCM 2003 or Outlook 2003 I don't
remember a way to link two contacts together directly.

GolfGal, are you wanting to link one contact to another in holy matrimony,
or link tasks to them?

Well, Lon, if I get a JP's license, I could do the matrimony thing........
but my goal for BCM is a bit different.

Let's say you have a client (Contact) and you want to link that contact with
say an attorney and a banker. In the regular Outlook, there's a box in the
lower right corner of he conact form, where you can link other contacts. If
you clicked on one of those, it would them open the associated contact so you
could call or email that associate.

It works very well for what I do, except I want to be able to use BCM for my
Clients, not regular OL.

I can add a column for contacts, and fill it in, but I cannot find it on the
form, therefore the link that would open the associate isn't available.

Also, being the ACT expert....perhaps you can answer this: I posted another
question about importing my ACT database to BCM 07, and the groups did not
show up as categories. I wonder if these two matters are related.

OK, use the Initiated By field in the contact to link two contacts
together -- there's the same hyperlink where you can jump from one contact
to another like in 2003.

As for importing ACT! groups, when you did the import did you check Groups
and answer whether you wanted them as Categories or Accounts? It should
have imported the names but it won't associate the contacts to the
group/category -- sorry... You can use Search Folders to recreate the
groups by defining criteria.

Possible solution?

Open the primary contact. Create a New History item>Business Note. In the
subject, type "Associates", then click Linked and select all of the contacts
you want.
