He Everyone! I am not a real expert at Word (being primarily a
network admin) but would like to ask a question that I am sure has a
straightforward answer.
We are creating some customer forms in Word 2003. We are entering
explanatory text in certain areas of the form. We want the form to
display this text when it is viewed on the screen, but we do NOT want
it to print when the customer prints the form. Any advice on how to
do this? Thank you!
You can do this for your own use, but making it work for customers on their
own computers is going to be difficult.
Format the instructions as Hidden text. In the Tools > Options dialog, check
the box for "Hidden text" on the View tab, and clear the box for "Hidden
text" on the Print tab. Then hidden text will appear on screen but will not
print.
The problem is that these Options settings are specific to the computer on
which Word is running, not to the document. That is, the options aren't
saved in the document's file, so they don't travel from one computer to
another.
It would be possible to place a macro in the document to make sure the
options are set properly when the document opens, and to change them back to
the customer's preference when it closes, but that has two problems. The big
one is that many people (with Microsoft's encouragement) don't allow any
macros to run on their machines, for fear of viruses. The other is a
technical difficulty in getting a macro to run reliably when a document is
closed by any of a half dozen methods.
You would do best to simply tell each customer how to set their options so
they can see hidden text but not print it. Or maybe place the instructions
in a separate document...
