I have just started using journal for the first time and
have found that all office docs that i have created are
auto saved as short cuts in journal entries. How do I
turn this option off?

Tools|Options|Journal Options
under the section "also record files from:" uncheck the
applications.

You can set the options for which items are automatically tracked by Journal
entries at Tools | Options | Journal Options.
