Do I need to purchase Exchange to share the calendar?

For that few people, you may want to look into a hosted Exchange solution.

This post helped alot. Google Calendar works fabulous and if you have a web
enabled phone, you can view it anywhere. Thanks MIKE!!!!!

OfficeCalendar v4.5

I am currently researching this capability for our company (sharing
calendars or setting up a Group calendar, or setting up a resource calendar)
without the use of an Exchange server. Our requirements are these:

1. Cannot be published to public Internet (privacy reasons)
2. Must not be outsourced -- need to internally maintain, own, and control
3. Color of Categories must be able to sync to other user's Outlook when
bringing in events from shared calendars
4. Must have control at an admin level of who can see and/or create/delete
events to a shared calendar
5. Need to be able to create new event to appear on other user's personal
calendars that are shared (for tasking purposes)
6. Need to be able to set event reminders for others

Strictly regarding Calendar functions (not true collaborative workspace
environments), the current leader on our board is OfficeCalendar
(http://www.officecalendar.com).

This does nothing more than calendars, but was fairly easy to setup. You
have an option to use the default configuration of an MS Access DB on a
separate machine (preferrably a server) or MS SQL Server. We chose MS SQL
Server because it is expected to surpass 50 users and we did not want Access
boggin down.

I would recommend looking at OfficeCalendar if all you need is to create and
share Outlook calendars.

There is an optional piece that will allow one to publish their calendar to
Online OfficeCalendar (which looks very similar to OWA), but if you choose
not to configure that piece, everything can stay internal to your network (or
even exist on a server available for sync on the open Internet -- though
authentication appears to be pretty basic).

A simple plugin is all that is required for the end-user. This adds three
buttons on a toolbar within Outlook.

1. Configure
2. Sync to Server
3. Sync to Web

We set it up on a server running SQL Server 2005 that is in our DMZ, so we
can openly use it in the office, and still have the option of syncing events
when on the road or at home so long as we are authenticating using our VPN
software.

Hope that helps.

I have tried to e-mail the calender to my co worker. It did not work. Can you
give step by step how to? Thanks

You need to ALWAYS post your version of Outlook since some features are not
available on all versions.

The fix that JeremyS suggests is only for Outlook 2007.

|| Tracy,
||
|| There are a couple of options to share your Outlook calendars;
||
|| 1. Send a Calendar via E-mail You can send any of the calendars
|| you own to another person in an e-mail message. This is a type of
|| Internet Calendar called a Calendar Snapshot. The calendar appears
|| within the body of an e-mail message. However, an Office Outlook
|| 2007 user who receives the Calendar Snapshot can choose to open the
|| calendar as an Outlook calendar. Doing so can display the Calendar
|| Snapshot and the current calendar in side-by-side mode or calendar
|| overlay mode.
|| 2. Use "Publish My Calendar" You can publish your default Office
|| Outlook 2007 Calendar to Office Online and control who can access
|| your calendar on Office Online. Calendars published to Office Online
|| are searchable, which helps other Office Online users find calendars
|| of interest. Publishing an Internet Calendar requires neither the
|| publisher nor the user to use an Exchange account. For more

No, you do not need to purchase Exchange or use on-line options. Visit
http://www.officecalendar.com/ - it provides an add-on which allows you to
share your calendar, tasks, contacts etc without the headache and expense of
Exchange. It works great!

Any other suggestions? We need a LOCAL solution.

We do not want "cloud" options that puts our sensitive data in blind trust
w/ 3rd party vendors/hosts and MITM snoops. We do not want our accessibility
dependent on an outside connection or webserver that may not be accessible at
ANY TIME.

BTW, PJ: Small Biz Server 2003 can be set-up in office for ~$2000(licenses,
hardware, install) and will eventually require service by a technician.

<a
href="http://support.microsoft.com/default.aspx/kb/291627>http://support.microsoft.com/default.aspx/kb/291627</a>
Will be trying this tomorrow, but I believe I read this was disabled by a
"security update" recently...you know, for our own protection.

An Exchange server can be a local solution as you can place the server in
your own Office.
There are various solution focused on sharing by 3rd party software
developers as well.
See http://www.howto-outlook.com/tag/sharing

As you didn't quote the original post, probably including current
configuration and usage information, it is hard to offer any specific
solutions that would fit your environment.

Thanx for the reply, Roady. The server is the optimal solution, but SBS cost
is high for an office w/ 2 employees, 2 computers and 2 mobiles. The
workaround I posted did not work suitably. We've been down the 3rd party app
road, paid good money for poorly coded apps that crash and lock my data into
proprietary formats. In fact, I spent Saturday extracting for migration to
Outlook.(sure the 12k eml's was just time consuming, the 8 years of
appointments & 400 vcards w/ nicknames in quotes was just painful).

I know I can always pay more, but I'll be building an Apache this weekend
instead.
