Automatic entry in a document

I use contracts in my job and they are very lengthy and require that I hand
write a lot of the same information. I have been using text boxes to fill in
these fields electroically. What I'd like to do is put in the info once and
have it applied throughout the entire document. A colleage of mine has done
this, but is unwililng to share his hard work. How do I do this?
