When track changes is enabled for a document, word automatically assigns
colors for each user (author/reviewer). The built-in assumption for track
changes is that the document is being reviewed within a network environment
of multiple users, and that each reviewer is registered within the network.
For documents that are reviewed by email, each reviewer should be using an MS
office suite that has recorded their username.
Note- The username is one data element of the data set called meta data.
Some organizations, strip documents of metadata before the document is
emailed to avoid identifying specific users, or to avoid identifying the
organization's internal processes.
Occasionally, Word will assign the same color to two different reviewers
because the registered username is only a set of identical initials.
If you want to assign yourself a specific review color, then you must set
the color on the tools menu (tools menu, Options, Track changes tab)
On this tab, you wil see on that you have to set the color up to five times,
once for each of the trackable change types, 1) insertions, 2) deletions, 3)
formatting changes, 4) changed lines, 5) comments color
Even after doing this, you may find that the color of your tracked changes
has changed after your editor(s) have made changes. This will occur because
their software setup is probably not identical to your own.
