Want to set up an events calendar

J

jtpryan

This is regarding Outlook 2002 and and Exchange 2003 server. I have
created a user called "Events". I want to be able to put a link to
this calendar in all the users Outlook clients. The goal being for
them to be able to open it up, set up and event, and send out
invitations. But I want these invitations to come from
(e-mail address removed) so that the acceptences are logged there. I can
do a file, open other users folder, but I can't find a way to put a
shortcut to that folder somewhere in Outlook.

Thank you for any help,
Jim

Did you make a public folder or a mailbox?

(they'll need send as permission to the folder or mailbox too.)

Yes, I did try the public folder. But then invites to meetings end up
being sent as me, not as the "events" user.

Oh... I forgot, yeah, public folder won't work for meeting requests because
you can't enter a from address.

The users will need to add the events user calendar to their own profile -
either using open... shared folder on the calendar navigation pane or by
adding it as a second mailbox.

I took a look at the second mailbox thing. That's is actually pretty
good. Is there a way to make so the users only see the calendar and
not the other folders?

D

Diane Poremsky [MVP]

Yes, its all in the permissions. They will need view permission to the top
level but give them None permission to all the other folders you don't want
them to see. (None should be the default.)

Yeah, I don't follow the permissions thing. I have 2 users, both
standard. I logged in as events, fired up Outlook, and set the
permissions on all the folder to "none". Then I set Calendar so that
the other user was owner. I then logged in as the other user, added
the events mailbox and could still see all the folders and I could
create and delete things in them. Sort of like the permissions did
nothing.

Right click on the top level folder - this is where outlook today is found -
and choose properties. Default should be None and the users who will be
accessing the calendar should have View permission. The Event calendar will
get author or higher permission. All other folders will be set to None.

Do not make the users delegates to the Event mailbox - that usually allows
more access.
