Unoccupied Rooms - Booking

I wish to know how to book unoccupied rooms whilst the occupant is away from
site, i.e. Mr Someone goes to a half day or full day meeting offsite, his
room is empty, an urgent meeting is requested - does anyone know how can I
get the information required from Outlook/Calendar to show that his room is
available?

If he uses Outlook to show that he is not Busy but Out Of Office when he
makes the meeting away from his room, his Calendar would show him being Out
Of Office. It's the show time as setting in each meeting.

You could then view his Calendar and see the Out Of Office slots.

Thanks Judy but do you know if an automatic 'room free' alert can be sent to
the appropriate delegates without them having to look into his calendar -
bearing in mind that there are a few hundred rooms in the building and alot
of people attending out of office meetings each day?

No such "alert".

Have you tried making a Group Schedule with all rooms (and people who may
have an empty office) on it. You can then see in one place which rooms are
empty at any time.
