Setting up Distribution Lists

J

Judy Miner

I have used Outlook 2002 on Windows XP, but now have just started usin
Outlook 2007 with Business Contact Manager on a laptop with Vista. A
this time I am not using the Business Contact Manager part. I
attempting to set up a distribution list, I clicked on Select Members
however, not all of my Contacts are shown. Why can't I see some o
them? All of the information in the 'missing' ones seems to b
correct.

Also, I cannot seem to find how to list the distribution lis
alphabetically by last name. Is there a way?

Thanks

Installing BCM changes everything, even if you aren't using it.
In Outlook, Contacts will appear in the address book view when they have
valid, resolved electronic addresses and reside in a Contacts folder that
has been enabled as an email address book. Accordingly, one of those
conditions is not true. Only you can discover which.

Thank you...I am only moderately computer knowledgeable, but that gives
me a starting point to resolve my problem! I did not really need the
BCM but did not realize it might interfere with anything. Live and
learn!

I HUGE thing to remember is that these are E-MAIL distribution lists. if you
do not have an e-mail address it will not work.

Thanks for your comment. I did think of that, however, the funny part i
that some names that DID NOT have email addresses did show up a
available to select...others that DID have email addresses did not sho
up. For the moment I have just decided to assign categories and us
those. Thanks again. J

Something in your description doesn't fit here. It is simply not possible
for a contact without an electronic address to appear in the address book
view. Perhaps you are referring to some other view.

The Op is probably missing the fact that Outlook considers a FAX number as
an electronic address....so a contact with no email addy but with a Fax
number can still appear in the Addressbook view...

What I originally did was went to File…New…Distribution List…gave it a
name…clicked on Select Members. That is where some would show and
others not, but it did not seem to be tied to whether they had an email
address (or a fax) entered or not. Strange…I think!

What I am doing now is going to Contacts, choosing a view…usually
Address Cards or Phone List… then dragging ‘with the Control key held
down’ the names that I want over to the Distribution List that I want
them in. It does seem to work to include everyone I want in the list. I
do realize that without an email address I cannot send anything to them.
I wanted all included so as people in my club get email addresses, I can
just add them. However, if the list won’t send emails by just skipping
over the ones without addresses, I will remove them.

Another strange happening I have is that some names have the first and
last names reversed. I have deleted and re-entered them and been very
careful to make sure I had the information in correctly. They still
sometimes show wrong. It is odd since I put all the information for
each person in the very same way.

Thanks for your help. JM

Your Outlook Address Book Service appears to be corrupt. It is never
possible, however, for Contacts without electronic addresses to appear in
the address book view.
The Outlook Address Book Service cannot be repaired in Outlook 2007 because
of a bug in the program. You will have to create a new Outlook profile to
fix the problem.
