Scheduling Conflicts Alerts

Herschel Jones (Boral Industries)

I have to admit, I'm not very familiar with the Calendaring function of
Outlook, don't use it that often, and I thought what I am about to ask was
already the default.

My manager wants to make it so that if he sets up a meeting with someone,
and the time he selects conflicts with the attendees schedules, Outlook will
automatically let him know. Is this possible?

Yes, he can see if there is a conflict assuming his copy of outlook can see
the other people's free/busy information. Outlook won't pop up a notice to
tell him - he needs to look at the scheduling page.

So there is no way that Outlook will tell you that your proposed time
conflicts with an existing appointment on one of the attendee's calendars?

That's interesting....I would think that would be excellent functionality to
have built in. An oversight by MS, or by design?

It will show you the time of the appointment, and the info that's
available for you and any attendees. It's pretty obvious at that point
if there is a conflict or not. There isn't any error message dialog box
that comes up if you go ahead schedule a conflicting meeting on someone
else's schedule if that is what you mean. Warnings only appear for your
own calendar, the recipient would get a warning for their calendar
though and then could suggest an alternate time.

when setting up a large meeting, a popup alerting you for each invitee would
be less than useful - using the schedule assistant and looking over each
potential invitees availability (free/busy) is more efficient. They do
need to publish it where his outlook knows where to look - so while it works
great with other members of the exchange organization, its less than useful
for outside invitees.

It's fairly straightforward - bring up calendar view. on the right - click on
'Share my calendar" It brings up calendar properties, Under the Permissions
tab, make sure the 'read' and 'folder visible' boxes are checked.
