move sent items to alternate folder dependant on sender email addr

Hi

I have an issue, caused by having multiple mailboxes open in outlook, this
is a business requirement with different email addresses (and domain names)
for different business areas. (eg (e-mail address removed) and (e-mail address removed)) I am
using outlook2003, backed by exchange 2003.

I want to automatically place sent items in the correct sent items folder
depending upon what email address (account) was used to send out an email.

Whichever is the primary email account currently has all sent items in it.
(eg sent from (e-mail address removed) and (e-mail address removed))

Although it is possible to manually just copy them, it would be nice to
script or rule it to eliminate errors

If anyone has a rule based fix, some code that works, or a commercial
application (reasonable cost) I really need to solve this

One way would be to turn off saving the message in the sent folder and
sending a blind copy to the sender. You could create a rule to save
messages sent to and from the same email address in a separate sent folder.
The only glitch would be if you couldn't set up the blind copy for each
sender.

Hi Barb

This would then require another rule to automatically create a BCC mail for
every sent item. I am not the only user, and most have 0 (or slightly less)
IT skills. This is why the copy across method is a non starter

A script that runs once a day (or hour?) to do the job would even do

Not sure if it is too late to help with this but I had the same problem as I
have two accounts (in one profile) and have found a solution as follows:

1. Ensure save copies of messages in sent items folder is unchecked:

Outlook
Tools
Options
Preferences
E-mail options
Uncheck save copies of messages in sent items folder (if this is checked
copies of all messages from all accounts go to default account sent items)

2. Then set up a rule for each of your e-mail accounts asking for a copy of
sent mail to be sent to sent items:

Tools
Rules and alerts
New rule
Start from a blank rule
Check messages after sending
(Apply this rule after I send the message – will come up by default)
Next
Through the specified account (select an account)
Next
Move a copy to the specified folder (specify the sent items folder for the
account you have selected)
Next
Don’t set any exceptions
Specify a name for the rule
Ensure turn on this rule is checked
Finish
Specify folder to which changes are to be applied (it will be the account
for which the rule has been written)
Apply

Repeat 2. for each of your accounts.

Hope this may help someone!

Hi Bridget,

I have been trying to find a way to get Outlook to change the default
"Sent Items" folder, as Thunderbird and other clients support this in
their options.

But I have been left with doing the above also. Only downside to this
is that the email appears in the defined "Sent Items" folder as Unread.


Coincidence that I also posted to m.p.outlook.general today about this
:)

The only things I would modify in this is to add the "stop processing more
rules" action and add one more rule that applies to all messages so that if
any aren't processed by the preceeding rules, the final rule will apply or
you could fail to save some outgoing messages.

Coincidences are strange! Having sent items listed as unread is a downside -
there is an alternative - only a marginal improvement in my view - which you
probably know about but if you right click on the sent items box you can set
it to show number of items instead of show number of unread items. Or you can
right click and 'mark all as read' from time to time. Neither of these are a
'proper' fix though.

Brian - thanks for this - being new to Microsoft Outlook and rules I didn't
know this - v helpful.

Brian - I've added 'stop processing more rules' to the rule in each of my
accounts but I'm having trouble adding another rule that applies to all
messages - could you possibly spell the procedure out? Apologies but I am
new to this!

Apologies but I am new to this!

Open the Rules Wizard. Click New Rule. Select Start from a blank rule,
choose Check messages after sending, then click Next. Click Next again and
you'll get a popup that says "This rule will be applied to every message you
send. Is this correct?" Click Yes. FInish the rule as before. Make sure
it's at the very bottom of the rule list when you're done.
