Hi,

I am trying to do a mail merge in word 2002 sp3

The problem that i have is that some address's will have a second line and
some don't.

When i merge if it doesn't have a second line i get a blank line. How do i
remove the blank line in the letters that dont have the second line of
address and keep it in for the ones that do?

Can you describe exactly the contents of your second lines (what kind of
MERGEFIELDS and maybe other fields are in there, how do you end the line
(i.e., a SHIFT-RETURN, a normal RETURN, something else)?

I'm asking because, per default (and IIRC), Word is suppressing empty
paragraphs resulting from MERGEFIELDS only.

The simplest method is not to use the AddressBlock field and use the
individual fields that make up the address. You can insert the lines
conditionally so that the line feed only occurs when the field has content.
Change the field names below to suit your data source. Note that the curly
brackets are placed with CTRL+F9.

{Mergefield Address1}{IF {Mergefield Address2} <> "" "¶
{Mergefield Address2}"}{IF {Mergefield Address3} <> "" "¶
{Mergefield Address3}"}{IF {Mergefield Address4} <> "" "¶
{Mergefield Address4}"}

¶ signifies that you should use the enter key here.

Hi,

I have used seperate fields and all that is in the second line is. the
second line of the address.

I am just using a standard return at the end, which then moves onto the
county field.
See below:

«First Name» «Last Name»
«First_line_of_address»
«Second_Line»
«City»
«County»
«Postcode»


As i say not every address will have a second line of address.
