Importing Outlook.pst file into Outlook 2000

I copied Outlook.pst file from my office outlook 2000 to a
writable CD. I inserted CD into my laptop and copied the
outlook.pst file to a new folder on my laptop c drive.

My laptop contains outlook 2000 as part of office 2000
small business. The import worked ok with all Emails and
contacts in the address book, as well as the importation
of contacts in their assigned Groups. I examined several
Groups and all contacts were in their appropriate Groups.
I closed the address book and opened it again, and all
contacts were still in their groups.

I closed Outlook, opened outlook again, and all the Groups
were empty. None of the contacts were in their assigned
Groups. However, all contacts were still listed
individually in the address book. Further, all of the
newly copied Emails were still intact in Outlook.

This process was tried on several different days, and the
problem that occurred every time was the loss of the
contacts that were assigned/listed in Groups.

How do I keep the contacts in their appropriate Groups?

Solved Gaylord Lee's problem with his address book in his
Laptop not displaying Contacts listed under a Company
contact after exporting his outlook.pst file in his
desktop to a CD and importing it in is Laptop.
1. Both PCs use Outlook 2000 with all of the
Microsoft downloads up to date.
2. Earlier years, we had with earlier versions of
Outlook in both PCs simply copied the outlook.pst file
from his desktop and used it to replace the outlook.pst
file in his laptop, using Microsoft Explorer for most of
these operations.
3. After Gaylord had a stolen laptop replaced in
November 2002, I thought he had Outlook 2002 installed in
the replaced laptop. I found out today that Outlook 2000
was replaced in his laptop.
4. Today, out of desperation, I suggested that we
simply copy the outlook.pst file from his desk PC over
the same file used by his laptop. This worked perfectly
as far as he was concerned, but I noticed that
Outlook "asked to make some changes in its operation when
we first opened Outlook in the laptop - we entered Yes,
and Outlook resolved its complaints - good job here
Microsoft!!
5. Gaylord uses his desktop PC for all of is
business operations. Before going on a business trip
every few weeks to other cities, he wants all of his
email and updated address book (contacts) transferred to
his laptop.
6. Trying to obey Microsoft's Help, I had asked
Gaylord to use Export and Import to transfer the
outlook.pst file. I saw today that his desktop
outlook.pst file was 180 MB and the laptop outlook.pst
was 530 MB. I suggested we try compacting the laptop
file today saved under as oldoutlook.pst, but he was in a
hurry as usual, so we ignored this experiment.

What problems are we inviting by using copy desktop and
paste over the laptop outlook.pst file???

Overwriting a PST is an invitation for data corruption and loss of settings,
especially when Outlook version are different.
Import and Export is another invitation for loss of data and settings.
The supported method is to copy the PST and configure Outlook to use the
copy.

To use another PST file (such as one from an earlier installation) and set
it to be the default for your current installation of Outlook, you will
first need to know the location and name of the PST file you'd like to use
as your new default. Then use the following directions, depending on version
and mode of Outlook:

Corporate Mode: (With Outlook closed)
- Control Panel > Mail applet
- Remove the current Personal Folder service
- Readd the service, directing it to the new PST file location
- Restart Outlook

Internet Mail Only mode:
- File menu > Open > Personal Folders file > migrate to the new PST file
location to open it
- Right-click on the root of the new set of folders in the folder pane (View
Folder List)
- Choose Properties
- Check the "Deliver POP mail" box
- Quit & restart Outlook
- Now you can Close the PST file that you were previously using (R-click on
that pst folder while in Folder View and select "Close <foldername>
Folders"). If you have any information in your former PST that you'd like to
transfer to your new default PST, you can drag and drop from one to the
other before you close the old one.


Outlook 2002/2003:
- Go to Tools > Options > Mail Setup > Data Files > Add...
- Add the PST you'd like as your new default, then Close > OK to exit the
Options dialog
- Go to Tools > E-mail Accounts > View or change existing e-mail accounts
- Select the PST you just added in the "Deliver New e-mail to the following
location" dropdown (it will most likely appear just below the current
default Personal Folders file) > Finish
- Exit and Restart Outlook
- You can now close the previous default PST (R-click on that pst folder
while in Folder View and select "Close <foldername> Folders"). If you have
any information in your former PST that you'd like to transfer to your new
default PST, you can drag and drop from one to the other before you close
the old one.

Copy the desktop .PST to the laptop, but don't paste it over the existing
..PST -- just tell Outlook on the laptop to use the new file instead. Use
Outlook's File | Open | Personal Folders File command to open the copy of
the desktop .PST in the Folder List, then right-click its root folder,
select Properties, and check the box to make it the default mail delivery
location.
