I need to import a distribution list

Rick

A coworker emailed me a distribution list from her Outlook 2003. I wish to
import that distribution list to my Outlook 2007 contacts. How can I do this?
Her email contains the distribution list that has an "msg" extension if I
save it. I can open it and view the contents but can't copy the contents into
my contacts list. Any help out there?

You cannot import DL's. Sender needs to send them correctly: as an Outlook
item in an RTF message. Then you simply open and save.

I checked with her and her computer says that the list is in RTF. After I
save it on my computer, the file type lists it as an Outlook item. But when I
double click on it, I get a message that says Microsoft Office Outlook
"cannot read the item". Any other ideas?

Had it been sent correctly, you would simply open it and save it. It will be
saved to your default Contacts Folder, never to your desktop as you
describe. Most likely the sender failed to insert it as an Outlook Item.

Russ,

I use Outlook 2007 at work and home, but a Distribution List I sent from
work to home in RTF doesn't save automatically to my Outlook Contacts folder
as you describe. To send the list I right-clicked on the "Group" in my
Contacts; selected "Send Full Contact"'; selected "In Outlook Format;
selected "Rich Text" format under Options in the message; and sent it to my
home email.

I also then tried the method of saving the email's DL attachment in the
default .msg file format and "dragging" that file to my Contacts Folder, plus
tried "dragging" the attachment directly from the email. When I do either
all that opens or appears is a "Contact" form with my work email address and
name (i.e., none of the names/addresses in the DL appear at that point).

The method Bill Tillman describes in posts to "import a distribution list",
3/4/07, by Scotty does work: i.e., I send the file as plain text (TXT), open
that file, and copy/paste the names and email addresses into the "Members"
field in a new Distribution List, and save.

What am I doing wrong in the method you describe? The latter TXT method
does work, but I'd expect MicroSoft would have something more direct as you
describe.

I/we greatly appreciate your assistance and patience!

Sincerely, Jay P.

P.S. -- A suggestion to pass on to MicroSoft if you can: change Outlook
field names to match or be compatible with Access. For other uses as well I
use Access to maintain a "master" file of Outlook contacts in the default
Access "Contacts" table and its fields as formated. You probably know that
some field names in Outlook contain the characters " / " and " ' " , both
of which cause problems in Access. Further, multi-word Outlook field names
contain spaces. Importing from Access works "OK", but should be easier. One
must use "Map Custom Fields" each import due to Outlook's use of spaces and
characters forbidden for use in Access field names. The spaces are an issue
in Outlook's use of clusters of fields collapsed under Email1/Email2;
Business Address/Home Address; etc.: i.e., Outlook field names containing
spaces (and/or " - " ) then don't match Access field names. There should be
nothing "custom" in importing from the default Access "Contacts" table.

Try using the method I posted instead. It works. At no point did you follow
it. You did not insert the DL as an Outlook Item into an RTF message.
