The snapshot viewer utility can be installed on Windows operating systems.
It allows a person who does not have Microsoft Access to open a report that
was saved as a snapshot file (*.snp file extension). This allows the owner of
a database to easily send a copy of a report, without having to send the
entire database. Other export options are available, including HTML and rich
text format, but these options do not reproduce the "look and feel" of the
report exactly. For example, try exporting a report that includes a checkbox
control to a rich text file. You have to use work-around kludges, such as
using conditional IIF to substitute an image with a check mark when the
condition is true. HTML exports are also not exact replicas of the original
report.
While PDF export can get pretty close, even this format sometimes results in
elements that are not displayed correctly. The snapshot format gives you an
exact replication of what the report would have looked like when it was
printed. You can use VBA code as well, so that with the click of a button on
a form you can create a new e-mail message with an attached snapshot report,
with the e-mail address, subject, and text of the message filled in. When I
used to teach an Access course at Bellevue Community College (Bellevue, WA.,
USA), I had set up my database to send a report detailing a student's
progress in the course as an attached snapshot file. This report included the
scores that I had recorded for their homework, quizzes, extra credit, etc.,
along with total points displayed.
